The Program Assistant II position within this department is a part-time, non-benefited role designed for individuals who thrive in creative, organized, and community-focused environments. This role plays a critical role in supporting the planning and execution of Cary’s annual community events, ensuring they run smoothly and successfully. Key responsibilities include assisting with event logistics, managing the administrative functions at community centers, and providing excellent customer service to visitors. This position demands a flexible schedule, including availability on weekends, evenings, and holidays, reflecting the nature of community events that often occur during these times.

Working up to 20 hours per week, and not exceeding 999 hours per year, the Program Assistant II ensures the effective implementation of programs that enrich community engagement. Individuals in this role contribute to the department’s mission by preparing materials, coordinating vendors and entertainers, and managing event budgets meticulously. Additionally, they support marketing efforts by creating engaging content for social media and printed promotional materials, thereby increasing community awareness and participation. Beyond event management, the role requires multitasking and strong organizational skills to support daily community center operations like registration, data entry, and front desk assistance. Job Requirements

  • high school diploma or equivalent
  • associates degree or equivalent combination of education and experience in relevant fields
  • some experience with community or family event planning or programming
  • some experience in marketing, social media content creation, or community engagement preferred
  • ability to lift up to 25 pounds
  • ability to walk unassisted and move freely
  • valid driver's license with acceptable driving record
  • willingness to work flexible schedule including weekends, evenings, and holidays
  • ability to communicate effectively
  • drug testing and background check including criminal history, fingerprinting, motor vehicle records, education verification, credit history review, and reference checks prior to employment

Job Qualifications

  • Associates degree or equivalent combination of education and experience in Parks and Recreation, Communication, Marketing, Event Management, or related field
  • experience with community or family event planning or programming preferred
  • experience in marketing, social media content creation, strategy, or community engagement preferred
  • general knowledge of computers and related software
  • general knowledge of standard office practices and procedures
  • ability to remain organized and multitask
  • ability to work independently to create, plan, implement, and manage events
  • ability to complete assignments accurately and prior to established deadlines
  • ability to communicate tactfully and constructively with the public and coworkers
  • ability to understand and carry out verbal and written instructions
  • ability to acquire knowledge of Cary policies, procedures, and departmental services

Job Duties

  • Plan, implement, and manage community events
  • perform routine clerical and administrative duties including assisting at the community center front desk, registering patrons, answering phones, and running reports
  • assist in developing the purpose, goals, and focus of Cary events
  • develop and organize financial and human resources to implement new and existing events
  • assist with facilitating agreements with vendors, entertainers, and instructors, ensuring collection and maintenance of Certificates of Insurance
  • prepare and monitor event budgets and expenditures
  • perform marketing assistant tasks such as creating social media content, brochures, posters, and flyers
  • ensure assigned web pages are accurate, timely, and complete
  • work with performers and agents to determine fees and hire entertainers
  • research, screen, and select vendors for events
  • assist PRCR staff in program implementation and special projects
  • set up activity rooms and gym
  • manage rental reservations, data entry, and general office duties
  • perform other job-related tasks as required
