Job Description

ArtStart is a dynamic nonprofit organization committed to enriching communities through arts education and creative reuse programming. The Program & Events Coordinator position at ArtStart is a part-time, non-exempt role requiring a commitment of 20 hours per week, including 10 hours in-person per week with occasional evening and weekend events. This hybrid position offers a competitive hourly pay rate of $19-$20 per hour depending on experience. Reporting to the Program & Events Director, this role is vital to the smooth operation of all ArtStart programs by providing essential logistical and administrative support.

In this role, the Coordinator will handle detailed program logistics, maintain communications with artists, participants, and venues, coordinate scheduling and space reservations, and support marketing and sales activities. The Coordinator acts as the key liaison among artists, venues, and internal staff ensuring all program details are meticulously managed from start to finish. Additionally, the role involves camp coordination including supervising campers and managing supplies, logistical support for festivals and events, and maintaining accurate documentation and tracking in CRM systems.

The ideal candidate will bring strong organizational skills, exceptional communication abilities, and a proactive approach towards solving problems. They need to be comfortable with technology, adept at managing shifting priorities, and willing to engage with the community both remotely and in-person during key program events. Experience in program support, event coordination, or youth camps is highly valued, along with familiarity working with teaching artists and using tools such as Excel, Google Suite, QuickBooks, and Canva.

Job Requirements

  • High school diploma or equivalent
  • Experience in program support, event coordination, or administrative roles preferred
  • Ability to commit to 10 hours per week in-person
  • Availability for occasional evenings and weekends
  • Physical ability to support camps and festivals which may include extended hours and physical activity
  • Strong organizational and communication skills
  • Proficiency with computer software including Excel, Google Suite, PayPal, and QuickBooks
  • Reliable transportation to event locations
  • Customer service orientation
  • Ability to manage multiple priorities in a fast-paced environment
  • Willingness to work both remotely and on-site as required

Job Duties

  • Work with Program & Events Director to coordinate communications between artists, participants, and venues
  • Serve as venue liaison for logistical arrangements
  • Manage room reservations and space coordination
  • Support artists with program preparation and logistics
  • Collect artist bios and headshots for program materials
  • Request and coordinate artist paperwork for Office Manager
  • Track background check completion
  • Assist with contract liaison to Office Manager when needed
  • Serve as liaison between Director and Office Manager for contract processing
  • Handle logistical questions and coordinate camp details
  • Provide venue support during camp sessions
  • Assist in supervising campers as needed
  • Coordinate supplies and materials for camp including sourcing and returning materials
  • Handle artist meeting logistics
  • Provide logistical support for festivals including equipment, food trucks, and supplies
  • Support volunteer coordination and management
  • Support Program & Events Director with sales activities
  • Staff tabling opportunities at conventions and community expos
  • Support marketing team with promotional activities
  • Maintain accurate information in Neon CRM and shared databases
  • Keep program calendars updated
  • Organize photo files and program documentation
  • Track program evaluation data
  • Gather information for grant reports
