Job Requirements

  • High school diploma or equivalent
  • 2-4 years of receptionist, front-desk, or client-facing administrative experience
  • Exceptional phone presence with warm and professional communication
  • Strong organizational skills
  • Detail-oriented with professional writing ability
  • Comfortable learning and using multiple software platforms
  • Valid driver’s license with acceptable driving record

Job Qualifications

  • 2-4 years of experience in a receptionist, front-desk, or client-facing administrative role
  • Exceptional phone presence with warm, clear, energetic, and professional communication

  • Detail-oriented with professional writing ability producing polished and error-free communication
  • Comfortable with technology and able to learn software platforms quickly including Monday.com, SiteDocs, Dropbox, QuickBooks Online
  • High school diploma or equivalent required, associate’s degree or relevant coursework preferred
  • Valid driver’s license with an acceptable driving record

  • Preferred experience in construction, engineering, or professional services industries
  • Familiarity with QuickBooks Online and/or Monday.com
  • Experience supporting safety programs or regulatory compliance documentation

Job Duties

  • Own the phone and answer every inbound call by the third ring with a warm, professional, and energetic presence
  • Triage and route calls efficiently to the appropriate engineer, project manager, or team member minimizing transfers
  • Take accurate, detailed messages and follow up to ensure callbacks happen
  • Greet and direct all visitors, clients, and vendors arriving at the Tulsa office
  • Monitor and respond to general company email and inquiries as the first point of contact
  • Support the CEO on safety program administration including SiteDocs, training video tracking, safety forms management, and monthly safety meetings coordination
  • Send communications on behalf of the executive team including employee letters
  • Maintain and update CRM (Monday.com) with project and client information
  • Assist with basic accounting functions in QuickBooks Online including general ledger entries, accounts receivable follow-up, and invoice/payment updates
  • Manage incoming and outgoing mail, packages, and deliveries
  • Coordinate meeting room scheduling and office supply inventory
  • Assist with new hire onboarding logistics as needed
  • Serve as a bridge between field teams and office staff ensuring smooth information flow
