The Production Assistant position at EventEQ is an integral behind-the-scenes role essential to the seamless execution of live events. This role is designed for individuals who are highly detail-oriented, deadline-driven, and enthusiastic about supporting the operational and administrative facets of live event production. The Production Assistant contributes to maintaining organizational efficiency by supporting quoting, documentation management, billing, scheduling, and facilitating clear communication among various internal teams. The position involves monitoring crucial project deadlines, managing event-related documentation such as certificates of insurance and credit requests, coordinating crew schedules, verifying equipment and labor requirements, and assisting with technician expense processing. Additionally, this role requires close collaboration with account executives, operations, production teams, and technical staff to ensure operational workflows remain efficient and aligned with event goals.

Job Requirements

  • High school diploma or equivalent
  • Previous experience in event production, operations, administration, or project coordination preferred
  • Strong organizational and communication skills
  • Ability to manage multiple priorities and meet deadlines
  • Proficiency with Microsoft Office
  • Ability to work collaboratively in a team environment
  • Willingness to learn and adapt in a fast-paced environment

Job Duties

  • Assist with quote preparation and updates to ensure accuracy, efficiency, and profitability
  • Request, collect, track, and maintain client documentation including certificates of insurance, credit requests, tax exemption certificates, terms and conditions, and signed agreements
  • Partner with Account Executives to ensure deposits, invoicing, and billing processes are completed accurately and on time
  • Monitor Technical Prep List (TPL) and List of Labor (LOL) deadlines while communicating reminders and escalating missed deadlines when necessary
  • Ensure crew schedules, event documentation, and show information are accurately posted and maintained within internal systems
  • Assist Account Executives with reviewing equipment and labor requirements to ensure quote accuracy
  • Review technician expense submissions and assist with approval workflows
  • Monitor Open Quote Reports and communicate updates to internal stakeholders
  • Provide day-to-day operational and administrative assistance to support successful event execution
  • Work closely with Account Executives, Operations, Production, and Technical teams to maintain efficient workflows and communication
