The Procedure Scheduler position at IGA is a pivotal role responsible for efficiently managing patient appointment scheduling and clerical operations to support the clinical team. Reporting directly to the Scheduling Manager and working under the supervision of the Scheduling Supervisor, the Procedure Scheduler operates within a digital telephone system environment equipped with a specialized scheduling phone queue to manage multiple incoming calls. This role requires handling patient appointments for procedures, radiology, and gastrointestinal-related exams while ensuring thorough communication about appointment details and preparation instructions to both patients and affiliated medical facilities.

The Procedure Scheduler is tasked with various responsibilities, including managing electronic referral queues, documenting patient contacts, communicating with referring physicians when necessary, and managing patient data such as demographics and insurance information. This position also involves routine clerical duties like file maintenance, typing, and managing patient charts and records with precision and confidentiality in compliance with HIPAA regulations. The individual in this role will be the first point of contact for patients either by phone or face-to-face, and must embody a friendly, empathetic, and efficient demeanor to uphold the organization’s high standards of patient service.

Job Requirements

Job Duties

  • Associate with patients in a friendly manner
  • log into phone system scheduling queue to receive calls
  • receive patient phone calls and physician referrals to set up appointments
  • receive and screen urgency of calls and voicemail
  • answer questions and give information directly or on the telephone within knowledge scope
  • manage electronic referral queues for all offices
  • document contact with patients on each electronic referral
  • communicate to referring physician if unable to reach or schedule patient
  • inactivate new patient if unable to schedule and file referral records in archive
  • route referral records to appropriate place after schedule process complete
  • request medical records from referring physician offices
  • schedule appointments, procedures, radiology, and GI related exams
  • understand multiple insurances to schedule appropriately
  • obtain and enter correct demographic and insurance information from patients
  • use pre-assessment checklist when scheduling all procedures
  • give appropriate patient scheduling information to all facilities and document out-patient case numbers
  • give appropriate preparation instructions to patients and pharmacies for upcoming procedure
  • demonstrate ability to operate and maintain copy machine, credit card machine, and facsimile machine
  • maintain various office files, patient information packets and patient chart/records
  • retrieve patient records from Quick Charts and CD Web
  • call on nursing for assistance with appointment availability, recall indications and clinical patient education of procedures or tests
  • maintain HIPAA compliance
  • assist in keeping staff lounge neat
  • utilize Microsoft Outlook email for non-patient correspondence and Allscripts email for patient care correspondence/documentation
  • demonstrate respect of IGA policies for security, privacy and confidentiality while using IGA equipment
  • immediately report any network, hardware or software malfunction to the Director of IT or Supervisors
  • template MD schedules in Allscripts P.M. as assigned
  • monitor schedules for cancellations and adjust schedule
  • communicate pertinent information to others
  • follow personnel policies contained within the IGA personnel manual
  • perform other duties as assigned
