The opportunity at Oak View Group is to join as a Private Events Manager, a critical role responsible for leading the planning, coordination, and flawless execution of large-scale, complex private events across their venues. This position involves overseeing comprehensive event delivery from post-contract through final financial settlement, acting as the central point of contact and coordination across multiple departments to ensure operational excellence and outstanding guest experiences.
The Private Events Manager plays a pivotal role in driving strategic execution, overseeing logistics, and ensuring superior standards of quality and consistency for all events. This individual is tasked with managing event timelines, organizing staffing and production requirements, collaborating cross-functionally with culinary, operations, audio-visual, and facility teams, and maintaining accurate documentation such as Banquet Event Orders and event timelines. Moreover, this role demands proactive identification of operational efficiencies and risks, maintaining budgetary control and financial performance, and delivering feedback and reporting to senior leadership.
This is a full-time position with a salary range of $55,000 to $60,000 annually, plus eligibility for bonuses. The role requires flexibility in working hours, including nights, weekends, and holidays, as event schedules demand. Job Requirements
- Bachelor's degree or equivalent experience in event management or related field
- Minimum of 3 years of experience managing complex events in large venues
- Proven track record in financial management including budgeting and reconciliation
- Strong proficiency in event management software and Microsoft Office
- Excellent communication and interpersonal skills
- Ability to lead cross-functional teams and coordinate multiple departments
- Flexibility to work irregular hours including nights, weekends, and holidays
- Physical ability to move heavy equipment as required
- Demonstrated problem-solving and organizational skills
- Commitment to maintaining high standards of quality and consistency
- Willingness to accept additional duties as assigned by management
Job Qualifications
- 3-5+ years of event management experience in a stadium, arena, convention center, hospitality venue, or similar environment
- Proven experience managing complex, high-volume events with multiple stakeholders
- Strong understanding of event logistics, production, and operational planning
- Experience with budgeting, forecasting, and financial reconciliation
- Proficiency in Microsoft Office
- experience with Social Tables, or similar event planning software preferred
- Ability to manage multiple projects in a fast-paced, high-pressure environment
- Strong communication, organization, and problem-solving skills
- Ability to work flexible hours including nights, weekends, and holidays
- Ability to move heavy furniture/equipment as needed
- Other assignments designated by the Private Events Director
Job Duties
- Lead planning, strategy, and execution of large-scale, high-revenue, and complex events from initial planning through completion
- Serve as the primary point of contact post-contract, managing timelines, deliverables, and overall event execution
- Own event outcomes, including operational performance, financial results, and overall execution quality
- Oversee development and accuracy of BEOs, event timelines, and all supporting documentation
- Coordinate cross-functional communication across culinary, operations, AV, and facility teams to ensure alignment
- Plan and manage event logistics, including layouts, staffing plans, production requirements, and scheduling
- Advance event requirements with all internal and external stakeholders, including production needs, labor, and equipment
- Develop event layouts and floorplans as needed
- Identify operational efficiencies and proactively address risks to ensure seamless execution
- Maintain consistent standards of quality, presentation, and brand across all events
- Communicate post-event outcomes, challenges, and recommendations to senior leadership
- Support and mentor junior event staff, providing guidance, training, and performance feedback
- Collaborate with Sales to support retention, repeat business, and overall event success
