Job Description

The Civic Center Foundation is a leading cultural organization dedicated to promoting arts, culture, and community engagement through the management of premier event venues such as the Civic Center Music Hall. The Foundation is currently seeking a qualified and organized Private Events Manager to join their dedicated team. This full-time role is critical in managing the Foundation's private event offerings, ensuring that clients receive exceptional service and experiences from initial inquiry through event execution. The Private Events Manager will be responsible for overseeing all aspects of private events, including event booking, client relationship management, program development, and coordination with internal teams and external vendors. This role requires strong organizational skills, attention to detail, and the ability to juggle multiple tasks efficiently while maintaining excellent customer service standards.

As the Private Events Manager, you will act as the primary point of contact for clients planning private events at the venue. Your duties will include managing event inquiries, conducting facility tours, preparing client estimates, and coordinating logistics involving catering, audiovisual requirements, and other vendor services. You will also develop marketing strategies to increase bookings, particularly for weddings, receptions, and corporate events, while expanding the client base to boost venue utilization during non-peak periods. This position requires someone who can manage the private events calendar, maintain and edit booking policies and procedures, and participate as the manager on duty for most private events.

In addition to day-to-day event management, the Private Events Manager will contribute to continuous improvement efforts by conducting post-event evaluations and incorporating feedback to enhance future service delivery. Budget oversight for the private events department and staying current with industry trends and best practices will also be key responsibilities. Candidates should possess at least a bachelor’s degree in Event Management, Marketing, Business, or a related field, and bring a minimum of three years of relevant experience. Applicants must be at least 21 years old and capable of working a varied schedule, including nights, weekends, and holidays, reflecting the dynamic nature of event management.

Job Requirements

  • Must be 21 years of age or older
  • ability to work a varied schedule including nights, weekends and holidays required
  • valid driver's license

Job Qualifications

  • Bachelor's degree in event management, marketing, business or related field preferred
  • minimum of 3 years of experience in event management or a similar role
  • proficient in event management software and tools, as well as Microsoft Office
  • excellent administrative skills to maintain proper event documentation and policies
  • exceptional communication and interpersonal skills to effectively interact with clients, vendors, and team members
  • strong organizational skills with the ability to manage multiple events simultaneously and meet tight deadlines
  • ability to multitask and quickly switch from one task to another without affecting performance
  • strong problem-solving skills and the ability to remain calm under pressure

Job Duties

  • Develop and maintain strong relationships with clients to understand their event needs and expectations
  • manage private events correspondence and booking requests
  • perform facility tours with potential clients and vendors
  • prepare client estimates
  • manage calendar, tentative holds, event contracts and information using event booking software
  • work with clients to develop and monitor timelines and deadlines related to all aspects of events, ensuring the information is communicated with staff
  • coordinate with internal teams and external vendors to ensure all aspects of the event, such as catering, audio/visual requirements, and logistics, are executed flawlessly
  • work as manager on duty for most private events held in facility
  • conduct post-event evaluations to gather feedback and implement improvements for future events
  • develop and execute marketing plan for private events section to increase wedding/reception bookings as well as diversify types of private event utilizing the facility
  • maintain and expand a client base of organizations, associations and corporate businesses to increase bookings during non-peak days and times
  • generate leads and promote awareness of the Civic Center Music Hall's event venues to increase bookings
  • manage and edit private event booking policies and procedures
  • review and edit budget for private events department
  • expand client information packets including rates, policies and vendor requirements
  • stay updated on industry trends and best practices to continually enhance the event offerings of the Civic Center Foundation
