The Civic Center Foundation is a respected institution dedicated to the promotion and support of cultural, artistic, and community events within the Civic Center Music Hall. The foundation oversees a prestigious facility known as the Civic Center Music Hall, which offers a variety of event spaces ideal for concerts, theatrical productions, corporate gatherings, weddings, receptions, and private celebrations. The Private Events Manager position at the Civic Center Foundation is a dynamic and integral role responsible for the seamless planning, coordination, and execution of private events within the facility. This role requires a seasoned professional skilled in client relations, event logistics, and operational management to develop and maintain strong relationships with clients, understand their event needs, and manage the entire booking process from inquiry through to post-event evaluation.
As Private Events Manager, you will be at the forefront of driving event bookings, particularly in expanding the facility's reach for weddings, receptions, and corporate events, while also promoting diversified private events during non-peak times. The role involves managing correspondence, performing facility tours for potential clients and vendors, preparing client estimates, and using advanced event booking software to handle contracts, calendar management, and event timelines.
Coordination and communication are key aspects of this position, as you will work closely with internal teams such as catering, audiovisual support, and logistics, as well as external vendors to guarantee a flawless execution of events. You will also serve as the manager on duty for most private events, addressing any real-time issues or client concerns to ensure an exceptional experience.
Beyond event execution, the Private Events Manager will be tasked with program development including crafting and implementing marketing plans aimed at increasing private event bookings and broadening the client base. This includes generating leads, promoting the venues effectively, and continuously updating policies, procedures, and client information packages to reflect industry trends and best practices.
The ideal candidate must bring a minimum of three years of experience in event management or a closely related field, possess strong organizational and multitasking abilities, and demonstrate excellent communication and interpersonal skills. Proficiency in event management software and tools, along with Microsoft Office, is essential.
This role requires someone who is proactive, detail-oriented, able to work a flexible schedule including nights, weekends, and holidays, and holds a valid driver's license. Job Requirements
- Must be 21 years of age or older
- bachelor's degree preferred
- minimum of 3 years of experience in event management or similar role
- ability to work a varied schedule including nights, weekends and holidays
- proficiency in event management software and Microsoft Office
- excellent administrative and communication skills
- strong organizational and multitasking abilities
- strong problem-solving skills
- valid driver's license
Job Qualifications
- Bachelor's degree in event management, marketing, business or related field preferred
- minimum of 3 years of experience in event management or similar role

Job Duties
- Develop and maintain strong relationships with clients to understand their event needs and expectations

- work as manager on duty for most private events held in facility
- conduct post-event evaluations to gather feedback and implement improvements for future events
- develop and execute marketing plan for private events section to increase wedding/reception bookings as well as diversify types of private event utilizing the facility
- maintain and expand a client base of organizations, associations and corporate businesses to increase bookings during non-peak days and times
- generate leads and promote awareness of the Civic Center Music Hall's event venues to increase bookings
- manage and edit private event booking policies and procedures
- review and edit budget for private events department
- expand client information packets including rates, policies and vendor requirements
- stay updated on industry trends and best practices to continually enhance the event offerings of the Civic Center Foundation
