The role of Private Events Intern at the Speed Art Museum offers an exciting opportunity to gain hands-on experience in event planning and management within a prestigious arts environment. This part-time internship (up to 20 hours per week) lasts for 12 weeks and pays $13.00 per hour. Reporting directly to the Director of Private Events, the intern will provide vital day-to-day administrative assistance and logistical support to the Special Events Department, which manages facility rentals and museum events.

Throughout the internship, the Private Events Intern will learn to use the museum's database systems for tracking facility rentals and special event details while taking on vital responsibilities such as assisting with meetings, programming, rehearsals, and on-site event execution. The role demands flexibility and the ability to thrive in a bustling atmosphere, sometimes involving evening and weekend work to staff museum events. The intern will collaborate with various stakeholders including clients, vendors, volunteers, museum staff, and security personnel to ensure smooth event operations.

The position entails tasks like coordinating complex logistics—room setups, audio-visual needs, catering arrangements—and maintaining important event documentation such as floorplans and one-sheets. Interns may also be called upon to greet guests during events, provide site visit tours alongside programming managers, and support post-event data collection with survey administration. In addition, the intern will help maintain inventories of event supplies, assist with ongoing departmental projects, and may handle administrative duties like proofreading and report preparation. Knowledge or willingness to learn about audio/visual equipment is highly valued.

This internship is designed to develop key skills in event coordination, communication, organization, and teamwork within a professional art museum setting. Job Duties

  • Learn and use current database for facility rental and special event management and data tracking
  • Assist on-site at fast-paced museum internal and external events, programming, rehearsals, site visits, and other events
  • Assist the department with complicated logistics including securing locations, room set-up, audio/visual needs, food and beverage
  • Send post-event survey requests and compile data
  • Act as event greeter and onsite museum representative occasionally
  • Assist in coordination of event logistics including scheduling and communication with clients, vendors, volunteers, museum staff, and security
  • Maintain and update Events One-Sheets and Floorplans
  • Gather research and information on service providers, pricing, event management tools, and market research
  • Assist with maintaining inventory of event department supplies
  • Assist in department development, organization, and special projects
  • Handle administrative tasks such as proofreading and report preparation
  • May handle Audio/Visual equipment with Production Manager supervision
