The role of Private Events Coordinator at JLL is situated within the Retail Property Management team at Union Depot, located in St. Paul, Minnesota. This on-site position is a key support role reporting directly to the Private Events Manager. The ideal candidate will be experienced, organized, and detail-oriented, assisting with the coordination of private events such as weddings, galas, business meetings, festivals, and conferences. The Private Events Coordinator's responsibilities encompass managing all aspects of the event lifecycle, from client contract execution and venue tours to day-of event coordination and follow-up. This role demands excellent communication skills, a customer service mindset, and the ability to collaborate with diverse stakeholders including event clients, vendors, building tenants, and caterers. The candidate will also support event marketing efforts and contribute ideas toward continuous improvement in event execution.

This position offers an hourly wage estimated between $26.44 and $28.85 USD with a typical work schedule from Monday to Friday, 8 am to 5 pm, however, evening and weekend availability is also required to meet event demands. The Private Events Coordinator must be self-sufficient while also thriving in a team environment, demonstrating problem-solving skills on the spot, and managing multiple event details with high attention to detail. Job Requirements

  • Bachelor's degree
  • Minimum one year of event planning or coordination experience preferred
  • Proficiency in Microsoft Office Suite
  • Experience with event management software and CRM platforms
  • Strong communication skills
  • Excellent customer service orientation
  • High level of organizational skills and attention to detail
  • Ability to solve problems quickly and efficiently
  • Ability to work both independently and collaboratively
  • Capability to lift over 25 pounds

Job Duties

  • Serve as the primary point of contact for assigned private event clients at Union Depot
  • Oversee the entire event process from contract execution to post-event follow-up including client walk-throughs, event layouts, and vendor coordination
  • Manage day-of event venue operations such as vendor load-in, compliance with venue policies, troubleshooting, and client relations
  • Collaborate with Union Depot division leads, building tenants, caterers, and other vendors to ensure successful events
  • Manage administrative tasks including processing event agreements, invoices, payments, commissions, and recording event data using Tripleseat, Active Campaign (CRM), and Square (POS)
  • Assist with planning and execution of annual open house
  • Attend networking events to promote Union Depot as a premier event venue and build industry relationships
  • Stay current with event industry trends and best practices
  • Participate in team meetings to contribute ideas for venue and event improvements
  • Support marketing efforts for Union Depot public events
