Job Description

The Civic Center Foundation is a prominent organization dedicated to supporting cultural, educational, and community events at the Civic Center Music Hall. This historic venue is a hub for a variety of private and public events including concerts, corporate gatherings, weddings, and theatrical performances, making it an essential part of the community’s cultural fabric. The foundation is committed to maintaining the highest standards of event management and guest experience while preserving the heritage and operational excellence of the Civic Center Music Hall.

The Foundation is currently seeking an enthusiastic and motivated team member to coordinate Private Event activities. This role focuses on enhancing the guest experience and ensuring the safety and well-being of all patrons during events at the Civic Center Music Hall. Reporting directly to the Director of Events and the Private Events Manager, the candidate will play a critical role in delivering exceptional customer service and seamless event coordination. This includes managing interactions with patrons, working alongside vendors, and collaborating with other team members to swiftly resolve any issues that may arise during the event.

The coordinator will act as a representative of the Civic Center Foundation, embodying a friendly yet professional demeanor that upholds the policies and procedures of the foundation and its user groups. Responsibilities will also extend to supporting public civic events as needed and assisting in event design meetings by creating floorplans that ensure events run smoothly. Additionally, the role involves maintaining the foundation's presence on social media during events through active Instagram stories, thereby promoting engagement and visibility.

This position demands excellent interpersonal and communication skills, a positive attitude, and a capability to multitask and prioritize duties effectively, even under limited supervision. Practical knowledge of basic computer navigation and proficiency in Microsoft Office applications such as Word, Excel, and Outlook are essential. The ideal candidate should be at least 21 years old, enthusiastic, and willing to work unconventional hours including evenings, weekends, and holidays as required. Experience in corporate events and weddings is preferred, and having social media marketing skills is considered a valuable asset.

Job Duties

  • Providing exceptional customer service to patrons at all times
  • Ensuring the best experience for guests during events
  • Working with other team members to resolve issues as they arise
  • Acting as facility management, presenting a friendly persona to the public while maintaining the policies and procedures of the Civic Center Foundation and its user groups
  • Working with outside vendors to ensure safe and timely load-in and load out for Private Events
  • Assisting with Public Civic Center events as necessary
  • Assisting in design meetings and create floorplans for Private Events
  • Maintaining an active Instagram story during events
