The Private Dining & Events Manager role at Essential by Christophe is a pivotal position responsible for driving the success of the restaurant’s private dining and event services. This role involves the promotion, selling, planning, and coordination of all private dining events, buyouts, and offsite events. The manager works closely with the front-of-house and back-of-house teams to ensure that every event is executed flawlessly, aligning with the restaurant's ethos and financial goals. The position reports directly to the Director of Operations and Christophe Bellanca, reflecting its importance within the organizational structure.
This role requires a dynamic professional who can balance multiple responsibilities, from responding promptly to event inquiries to managing complex logistics associated with private dining. The Private Dining & Events Manager is tasked with building and nurturing lasting relationships with clients, ensuring not only event satisfaction but also repeat business and positive word-of-mouth referrals. Utilizing systems such as TripleSeat, the manager tracks inquiries, manages contracts, and coordinates event logistics meticulously.
A key aspect of this role is ensuring exceptional guest service. The manager must provide a professional, responsive, and friendly environment for prospective and confirmed guests, including greeting visitors and providing personalized tours of private dining spaces. Attention to detail is paramount, whether it’s preparing Banquet Event Orders (BEOs), coordinating with culinary and service teams, or overseeing event marketing materials and outreach efforts.
The role demands excellent organizational skills and the ability to communicate effectively across departments and with external vendors. The Private Dining & Events Manager is also responsible for ensuring that events run smoothly on the day, acting as the primary onsite contact before transferring responsibility to the service manager. Post-event follow-up is an essential component, including final billing reconciliation and guest thank-you communications.

Job Requirements
- Bachelor’s degree in hospitality, business, or related field preferred
- minimum of 3 years experience in event planning or hospitality
- excellent verbal and written communication skills
- proficiency with Gmail, Google Workspace, Resy, and TripleSeat
- ability to manage multiple events and deadlines
- strong interpersonal skills
- capacity to work flexible hours including evenings and weekends

Job Duties
- Handle all daily incoming event inquiries via phone and email
- provide response within 12 hours of initial inquiry
- ensure exceptional guest service by providing a professional, responsive and friendly environment
- enter every lead in TripleSeat to build and grow guest database
- provide prospective guests with tours of all group and private dining spaces as needed
- generate contracts and credit card authorization forms
- secure guests’ signatures and deposits in a timely manner
- build BEOs and document all final arrangements including timeline, guest count, menus, set-up, rentals
- communicate and work with culinary and service teams to ensure seamless event planning
- work with third party vendors to facilitate event details such as flowers, AV
- complete and distribute BEOs timely for event preparation
- regularly review upcoming BEOs and understand all requirements
- organize and schedule weekly BEO meetings
- maintain and distribute updated Event Calendar
- draft and print event menus, place cards, cocktail cards, and other materials
- inspect event space before events and provide staff with BEOs
- greet guests upon arrival and act as primary onsite contact until event is in progress
- ensure post-event follow up including billing reconciliation and thank you notes
- maintain TripleSeat with leads, documents, and guest database
- maintain and update event marketing materials and menus
- participate in marketing and outreach efforts to promote private dining
- offer positive solutions to problems
- display flexibility with guest and planner requests
- utilize software programs like Gmail, Google Workspace, Resy, and TripleSeat
