The Private Concierge role at Resorts West plays a crucial part in upholding the company’s reputation for excellence by acting as the primary liaison between guests, owners, and internal teams. This position requires a professional individual who is dedicated to customizing services tailored to meet the specific needs and desires of each client. It involves proactive communication with guests and owners to verify the services they are receiving, coordinate special requests, and ensure the seamless delivery of accommodations and amenities. Private Concierges are responsible for conducting thorough property inspections prior to guest arrival to guarantee that each property adheres to the company’s established quality and service standards.
A key aspect of this role is expert knowledge of the local area, particularly Park City, which enables the Private Concierge to provide insightful recommendations and information to enhance the guest experience. Maintaining comprehensive records and logs for every guest and owner interaction, as well as managing transactions and vendor relationships, is essential to the position. Job Requirements
- High school diploma or equivalent
- Previous experience in hospitality, property management or concierge services preferred
- Strong communication skills
- Ability to maintain professional appearance and demeanor
- Excellent organizational skills
- Proficiency with reservation and property management software
- Ability to perform property inspections
- Knowledge of local area and amenities
- Ability to handle multiple tasks efficiently
- Strong problem-solving skills
- Experience working with vendors and managing client relationships
Job Qualifications

Job Duties
- Obtain knowledge of Resorts West culture, mission and vision
- Responsible for detailed knowledge of property inventory, location, amenities, etc
- Attain expert knowledge of Park City and provide guests and owners with any requested information
- Create and maintain a detailed file on each guest via daily log, overview sheets and sales receipts and keeping accurate records in RNS
- Contact each guest within 72 hours of being assigned to a guest to verify services they are receiving and learn their specific needs
- Arrange and coordinate the needs and requests of each guest and owner prior to their arrival
- Communicate with Guest Services Manager on all guest service requests, incidental charges, etc
- Maintain current and accurate information in the RNS folio and file for each guest
- Responsible for maintaining current and accurate transactions in RNS for billed items/services to guest and owner statements
- Maintain relationships with frequently used vendors
- Maintain clean and uncluttered work space
- Assisting and following up with all guest issues via work orders
- Sending thank you letters to all guests and owners upon departure
- Perform private check-ins
- Keeping an accurate record of all gratuities
- Ensure Resorts West quality and standards through inspections upon client arrival
- Work with Housekeeping Manager to determine and implement property specific standards
- Monitor and report housekeeping staff performance to Property Service Manager and housekeeping manager
- Complete and oversee inspection checks for all units prior to arrivals
- Perform inspections for all owner stays
- Complete departure or security checks as needed
- Document all inspections performed on inspector’s worksheet
- Direct housekeeping department in full inventorying and documentation of all managed properties
- Make observations of needed property upgrades, deficiencies in minimum inventories and work with Owner Relations Coordinator to implement these needs
- Other duties as assigned
