The Pod Assistant role is a pivotal support position within The Group’s operations, reporting directly to the Operations Team Lead and Operations Manager. This role involves managing a variety of critical tasks that support real estate Partners in efficiently handling listing preparation, marketing coordination, documentation, and administrative duties. The Pod Assistant ensures that transactions are processed smoothly from listing through closing, maintaining accuracy and compliance throughout. This position is ideal for individuals who excel in organization, thrive in dynamic, fast-paced work environments, and are passionate about delivering outstanding customer service and operational support.
The responsibilities of the Pod Assistant are diverse and encompass several key areas vital to the real estate transaction process. From preparing and proofreading listing contracts and disclosures to coordinating marketing efforts and staging services, the assistant plays an integral role in ensuring that listings are presented professionally and effectively. Additionally, the Pod Assistant manages documentation related to Homeowners’ Associations, such as ordering reports and maintaining compliance records, which is crucial for regulatory adherence and smooth transactions.
Marketing and administrative support form another important component of the position. The assistant coordinates marketing materials and campaigns in collaboration with other team members, schedules showings, creates showing guides, and supports Partners with property searches and administrative requests. The role also includes file management responsibilities like closing files for off-market, expired, or withdrawn listings, maintaining CRM and database accuracy, and providing front desk coverage or other office support as needed.

Job Duties
- Prepare and proof listing contracts and associated disclosures
- process new listings including MLS input, brochure and marketing orders, counter displays, ordering measurements, ordering photography and videography, coordinating sign and lockbox installation, ordering home warranties
- coordinate staging services when requested
- communicate listing information for company tours
- prepare Amend/Extend forms for listings including price changes and date extensions
- order O&E reports, covenants, plats, and HOA documentation
- maintain accurate listing and compliance records
- ensure transaction files are complete, organized, and compliant
- coordinate AutoFlow and other marketing materials in collaboration with the Head Concierge
- prepare marketing campaigns as requested
- schedule showings and create showing guides
- assist Partners with property searches and administrative requests
- finalize off-market, expired, and withdrawn listings
- close files in internal and external systems
- maintain CRM and database accuracy
- provide front desk coverage and assist other office staff as needed
- perform other duties as assigned
