Job Description

The Transportation Department plays a critical role in the smooth and safe transit of students to and from school, ensuring that each trip is efficient, timely, and secure. As an essential part of this effort, the department manages routes, coordinates with bus drivers and aides, interacts extensively with school personnel, parents, and students, and addresses any transportation-related issues as they arise. Situated within this vital department is the role of the PM Receptionist, a pivotal position that underpins the daily operations and communications of the entire team. The PM Receptionist is the first point of contact for a diverse group of stakeholders including bus drivers, school administrators, parents, students, and the general public, and it requires a professional individual who excels at customer service and administrative support.

This role belongs to the secretarial and clerical category, offering a dynamic and engaging work environment within the public or private school system's transportation division. The PM Receptionist position demands a person with strong communication skills, an ability to multitask, and a warm, professional demeanor to successfully manage inquiries, relay critical information, and support the department's logistics. Working hours are aligned with afternoon and early evening shifts to cover transportation needs during peak dismissal times, ensuring seamless communication with schools and transportation teams. Starting availability is ASAP, indicating an urgency to fill the role to maintain department efficiency.

The role involves a variety of responsibilities including handling telephone and radio communications, maintaining filing systems such as bus seating charts, assisting with orders for office supplies, and supporting special projects like mailings and documentation. It also includes cross-training opportunities in transportation software and GPS systems to enhance operational knowledge and flexibility within the department. This ensures that the receptionist not only manages front-end communications but also gains vital insight into the technological tools that aid routing and scheduling. Furthermore, the receptionist supports the Special Needs Coordinator and Transportation Directors by assisting in route assignments, bus notifications, and responding to real-time transportation changes. This makes the role integral to ensuring both routine and special transportation needs are met effectively.

Candidates applying for the PM Receptionist role should have at least a high school diploma or GED, with strong customer service experience and proficiency in office technology. Previous experience in a transportation or similar office setting is preferred but not mandatory, and familiarity with transportation software, routing, or GPS systems is an added advantage. The ideal candidate is organized, detail-oriented, able to work independently as well as collaboratively in a fast-paced environment, and possesses excellent verbal and written communication skills. The physical requirements are typical of office roles including prolonged desk work, efficient operation of standard office equipment, clear communication abilities, and occasional lifting up to 25 pounds.

This position is well-suited for individuals who enjoy administrative work coupled with meaningful interaction across various groups, all while contributing to the critical function of student transportation safety and scheduling. The PM Receptionist is instrumental in maintaining organized records, providing timely communication, and supporting the overall goals of the Transportation Department. Those interested will find a fulfilling secretarial role within a supportive team dedicated to serving the community’s educational transport needs.
