Within this esteemed medical facility, the Plastic Surgery Department is expanding and seeking a dedicated Plastic Surgery Medical Receptionist. This crucial role involves providing essential clerical support that ensures smooth daily operations and enhances patient experiences. The Medical Receptionist is typically the first point of contact, embodying the clinic’s values of courtesy, professionalism, and empathy. This position requires a meticulous individual capable of handling a variety of administrative tasks, maintaining communication flow, and supporting both the medical team and patients with efficiency and care.
The work environment is dynamic and patient-focused, involving frontline interaction both in person and over the phone. The role carries responsibilities ranging from scheduling and coordinating appointments, managing patient check-in processes, processing payments and insurance referrals, to maintaining confidential records in adherence to HIPAA and OSHA guidelines. Staff members are expected to be flexible, demonstrating teamwork and a calm approach in handling multiple priorities, sometimes under stressful conditions. Job Requirements
- High school diploma or GED
- Ability to provide excellent customer service
- Strong communication skills
- Ability to prioritize and manage multiple tasks
- Flexibility to adapt to changing workload
- Ability to handle stressful situations calmly
- Knowledge of computer systems and software
- Willingness to follow clinic policies and procedures
- Ability to work in an office setting involving frequent telephone and face-to-face contact
- Capability to lift up to 30 pounds occasionally
- Commitment to adhering to HIPAA and OSHA standards
Job Qualifications

Job Duties
- Represent Medical Clinic in a courteous and professional manner
- Greet guests and incoming calls politely, promptly, and helpfully
- Take accurate messages including all required details
- Process voicemails
- Be at workstation on time and prepared to start the day
- Read department emails frequently for important messages and updates
- Stay past scheduled work time as needed to accommodate patients
- Prepare and process fee tickets for patient appointments
- Collect co-payments, deductibles, co-insurance, or other patient responsible balances
- Correctly process payments and receipts
- Prepare daily deposit and maintain cash bag
- Schedule, coordinate and reschedule patient appointments as instructed
- Screen calls and direct to appropriate staff member
- Utilize Phreesia pad for all patients unless checked in online
- Prepare tickets a day in advance including verifying medication lists, insurance, referrals, and patient demographics
- Obtain accurate demographic and insurance information
- Obtain and process insurance referrals timely
- Provide prompt, efficient, and accurate patient service
- Meet or exceed patient, doctor, and staff expectations through teamwork
- Maintain a clean work area and clinic environment
- Adhere to all HIPAA and OSHA guidelines
- Follow all Medical Clinic policies and procedures
- Perform additional duties as assigned
