The role of Office Specialist at OhioHealth is integral to maintaining efficient patient flow and ensuring a positive experience for patients and visitors. This full-time, day-shift position requires an individual who is highly motivated and dedicated to supporting both patients and healthcare providers. The Office Specialist will perform duties including greeting patients, verifying insurance details, collecting co-payments, managing patient records, answering multi-line phone systems, and providing clerical support such as handling disability forms, medical record releases, and insurance paperwork. The role also involves supporting office organization by managing supplies and ensuring cleanliness and functionality of office equipment. Job Qualifications

Job Duties

  • Greet patients at arrival for appointments and initiate appropriate paperwork
  • complete patient registration, insurance verification, and collection of co-payments and outstanding balances
  • establish patient payment plans and ensure accuracy of billing information
  • work electronic medical record queues to correct registration errors
  • perform electronic and manual insurance verification and process insurance paperwork
  • obtain pre-authorization from insurance companies when necessary
  • interact with physician offices and third parties to obtain required paperwork
  • update patient charts electronically or manually, obtain patient signatures on necessary documents, and file paperwork
  • notify clinical associates of patient arrivals
  • answer multi-line phone system, screen calls for office associates, and direct calls appropriately
  • provide general office and clerical support including faxing documentation, completion of disability and FMLA forms, attorney request letters, patient record releases, and industrial claim paperwork
  • work industrial claims in the electronic medical record system, attach requested dictation, add diagnosis allowances and authorization numbers
  • assist in keeping patient charts organized, including scanning and docutrack information into EMR
  • attend staff meetings and continuing education seminars
  • sort, distribute, and mail transcription as assigned
  • order and stock office supplies
  • ensure office equipment are clean and well-maintained
  • provide support to appropriate staff members as assigned
