The People Experience Coordinator role at Prove is a vital position responsible for the seamless operation of Prove’s multiple office locations, including New York City (NYC), Chicago, and Denver. Reporting directly to the Senior Manager of People Experience, this full-time, on-site position (based in NYC) works regular business hours from 8:30am to 5:30pm, five days a week. The Coordinator plays an instrumental role in ensuring that all office environments are safe, efficient, consistent, and engaging, fostering a productive workspace for employees across all offices. This role requires strong multitasking abilities, excellent communication, and an unwavering commitment to operational excellence.
Key responsibilities include managing day-to-day office operations such as supply inventory, snack provisioning, visitor management, and inbound communication (phone, mail, messages). The Coordinator is also tasked with vendor management for office services including maintenance, mail handling, and supplies. A significant part of the role involves supporting employee experience initiatives, including organizing both in-person and virtual events—from coordinating RSVPs, managing event supplies, swag distribution, to providing on-site and conference logistics support. The Coordinator serves as the knowledgeable point of contact for all office locations, helping employees navigate logistical needs like preferred hotels, airports, and transportation.
Candidates for the People Experience Coordinator role must exhibit proven experience managing multiple office locations, sometimes remotely, and excel at maintaining updated signage and closely partnering with building management and internal IT teams to ensure fully operational office equipment and facilities. The role demands adept vendor relationship management, excellent interpersonal skills, and the ability to work with diverse cultures and business styles. Proficiency in the Google Suite including Gmail, Calendar, and Docs is essential, as is an understanding of office safety protocols covering CPR, food handling, and emergency situations.
