The Executive Wellness and Concierge organization at Vanderbilt University Medical Center is currently seeking a Patient Access Specialist to join their team. This role plays a crucial part in delivering outstanding patient service related to appointment scheduling and administrative processes before, during, and after patient visits. The Patient Access Specialist handles responsibilities such as inbound and outbound telephone calls, cash management, appointment scheduling, insurance updates, and patient check-in and check-out with occasional guidance.

This position requires someone who excels at coordinating multiple tasks, including managing complex patient scheduling needs that might involve coordination with various services or external healthcare providers. You will be expected to provide a positive first impression to patients by offering exceptional customer service, assisting with referrals, pre-certifications, clinical documentation, and ensuring all necessary information is ready before the patient’s appointment.

Working closely with internal teams and external facilities, this position demands meticulous attention to detail and a commitment to maintaining a smooth patient flow, contributing significantly to the patient’s overall experience at VUMC. You will also have the opportunity to grow professionally in a role that supports various administrative functions across the health system, including IT, finance, legal, human resources, marketing, and more.

Job Requirements

  • High school diploma or GED
  • Minimum of 2 years relevant work experience
  • Certification as Patient Access Specialist preferred
  • Ability to coordinate multiple patient appointments and services
  • Strong interpersonal and communication skills
  • Proficient with scheduling software and medical records systems
  • Ability to manage cash handling and insurance updates
  • Capacity to provide positive patient interactions even under pressure

Job Qualifications

  • High school diploma or GED
  • Minimum of 2 years relevant work experience
  • Patient Access Specialist certification from Health Business Insights preferred
  • Proficient in medical terminology and documentation
  • Strong customer service and communication skills
  • Basic computer proficiency including scheduling and record systems
  • Ability to handle multiple tasks and problem solve
  • Attention to detail and organizational skills

Job Duties

  • Conducts patient check-in and check-out
  • Coordinates any follow-up appointments or procedures required for patient
  • Schedules appointments, procedures or surgery through clinical communication or direct request
  • Provides positive first impressions utilizing customer service skills
  • Works with patients and/or outside facilities to ensure all administrative tasks, including referrals, pre-certs, clinical records and documentation, orders and consults have been received and ready to view prior to patient visit
  • Navigates scheduling for patients requiring multiple services or coordination with outside providers
  • Maintains cash management and insurance update processes with occasional guidance
