Job Description
The US Oncology Network is actively seeking a dedicated Patient Services Coordinator to join the team at Texas Oncology, an esteemed leader in community-based cancer care. This opportunity is available at the Texas Breast Specialists clinic located at 1826 Point West Parkway in Amarillo, Texas. The position is full-time, offering a standard workweek from Monday through Friday, 8:00 a.m. to 5:00 p.m. The role is flexible to accommodate candidates at various experience levels whether Level 1, Level 2, or Senior, reflecting their relevant work history and expertise in patient services.

As a Patient Services Coordinator within this network, you will play a crucial role in patient interaction and administrative support. The primary responsibility is to provide a welcoming and professional front-office experience for patients and their families. This involves greeting and registering patients promptly, scheduling appointments efficiently, and maintaining clear communication between patients and clinical staff. Managing incoming communications through phone and in-person inquiries is another vital aspect of the role, ensuring messages are relayed effectively and appointments are coordinated seamlessly.
This multifaceted position requires adherence to strict confidentiality and compliance standards, including the US Oncology Compliance Program, HIPAA regulations, and internal codes of ethics and business standards. The Patient Services Coordinator is also tasked with handling patient paperwork, updating demographic and insurance information accurately, collecting co-pays, and providing necessary appointment details. Beyond administrative duties, maintaining an organized and comfortable clinic environment is part of the daily responsibilities.

Job Requirements
- High school diploma or equivalent
- some receptionist or office experience
- proficiency with computer systems and Microsoft Outlook, Office Word, and Excel
- completion of required e-learning courses within 90 days
- at least eighteen months front medical office receptionist experience with insurance forms and scheduling software for Level 2
- knowledge of practice personnel and scheduling for Level 2
- at least five years front medical office receptionist experience with insurance forms and scheduling software for Senior level
- ability to lift and/or move up to 30 pounds
- vision and hearing corrected to normal ranges
- ability to sit, stand, walk, and reach with hands and arms
Job Qualifications
- High school diploma or equivalent required
- some receptionist or office experience preferred
- proficiency with computer systems and Microsoft Outlook, Office Word, and Excel required
- must successfully complete required e-learning courses within 90 days of occupying position
- at least eighteen months front medical office receptionist experience with insurance forms and scheduling software required for Level 2
- knowledge of this practice's personnel, daily routines, and scheduling a plus
- at least 5 years front medical office receptionist experience with insurance forms and scheduling software required for Senior level
Job Duties
- Greet patients and visitors to the clinic in a prompt, courteous and professional manner
- check in patients and inform clinical staff of patient arrival
- provide and explain paperwork for the patient to complete prior to examination
- collect, proof for completeness, and file patient forms
- update demographics and insurance information in the system
- collect co-pays and balances
- provide receipt
- answer, screen, and respond to routine questions
- route to appropriate personnel or take thorough messages
- page clinic personnel as appropriate
- communicate messages in an accurate and timely manner according to procedures
- check patients out after examination
- schedule returning appointments in accordance with physician and/or office guidelines
- provide patients with appointment details such as time, location, directions, instruction sheets, and other details
- record patient cancellations and missed appointments
- reschedule appointments
- notify appropriate staff of the cancellation and make note in patient chart
- provide general administrative support by filing charts and forms
- maintain lobby area in a neat and orderly manner
- maintain a legible supply of forms and appropriate office supplies required for daily activities
- adhere to confidentiality, state, federal, and HIPAA laws and guidelines with regards to patient records
- perform other duties as requested or assigned
