The role of the Patient Housing Office Agent at ANTHC is multifaceted and crucial in supporting patients and guests who utilize the housing facilities at ANMC, Quyana House, and SpringHill Suites University Lake during their medical visits. This position operates under various levels (I-IV), each with increasing responsibilities but unified in the goal to deliver exceptional service and support to patients and their families. The Office Agent acts as the primary contact for guests, assisting with check-in and confirming lodging arrangements, answering general lodging inquiries, and helping guests navigate Medicaid lodging accommodations and the ANTHC campus. Close collaboration with clinical departments ensures that patient housing reservations are accurate and align with medical needs.
Key responsibilities include operating the front desk in accordance with ANTHC policies, providing attentive and courteous service, confirming reservations, and facilitating daily lodging logistics. The role requires communication with case managers and healthcare organizations to coordinate travel, lodging, and transportation related to patient appointments. Agents also manage meal card issuance, room assignments, and key security, while coordinating with housekeeping, food services, security, and partner organizations like Ronald McDonald House.
More advanced levels of the role involve training new staff, managing property management software, performing night audits, leading quality assurance inspections, handling emergency and urgent requests, and serving as airport liaisons to ease patient arrivals and transportation. The position requires a comprehensive understanding of Medicaid processes, health privacy laws such as HIPAA, customer service best practices, and proficiency with multiple software systems including SharePoint, AFHCAN, Cerner, and Maestro.

Job Requirements
- High school diploma or GED equivalent
- One year of hotel experience
- One year of customer service experience
- Ability to work weekends and holidays
- Ability to handle on-call rotation (Levels III and IV)
- Ability to work evenings, weekends and holidays
- Ability to manage multiple priorities
- Proficiency in operating computer systems and software
- Knowledge of patient housing and Medicaid processes
- Strong communication and teamwork skills
- Ability to maintain confidentiality
- Ability to work independently or as part of a team
Job Qualifications
- High school diploma or GED equivalent for Level I
- Associates Degree in Hospitality or Hotel Management or equivalent customer service experience for Levels II-IV
- One year of hotel experience and one year of customer service experience for Level I
- Two years of hotel experience and two years of customer service experience or one year as Patient Housing Office Agent I for Level II
- Two years of hotel experience and three years of customer service experience or two years as Office Agent II for Level III
- Four years of hotel hospitality experience and three years of customer service experience or three years as Office Agent III for Level IV
- Ability to operate multi-line phone systems and patient housing management software
- Knowledge of Alaska Tribal Health System and Alaska Native culture
- Skill in oral and written communication
- Skill in using Microsoft Office programs and other computer applications
- Knowledge of HIPAA and Privacy Act requirements
- Ability to train and supervise staff (for Levels III and IV)
Job Duties
- Operate the front desk following ANTHC Patient Housing policies and procedures
- Provide attentive, courteous and efficient service to all guests
- Confirm lodging arrangements and complete confirmation calls prior to guest arrival
- Assist guests in finding Medicaid hotel accommodations when on-campus availability is limited
- Answer inquiries about Housing services, dining, entertainment, and travel directions
- Communicate guest comments or complaints and refer to management as necessary
- Coordinate lodging arrangements with ANMC case managers and regional healthcare organizations
- Issue meal cards with accurate per diem allocations and expiration dates
- Maintain accurate room status information and security of Patient Housing keys
- Operate Patient Housing Front Desk computer systems and generate necessary reports
- Train staff on Patient Housing processes and lead quality assurance inspections
- Perform night audit duties including reconciling buckets, reviewing rate amounts and running audit reports
- Serve as airport liaison assisting patients with check-in, luggage handling and shuttle services
- Manage hotel room inventory using property management systems and Excel spreadsheets
- Process discharge and urgent requests promptly
- Coordinate with housekeeping and maintenance for guest problem resolution
