The Front Desk Associate position at Sage Health is an essential role serving as the initial point of contact for patients entering the medical center. This role requires a welcoming and professional demeanor as the associate greets patients, collects necessary information, answers inquiries, schedules appointments, and verifies insurance details. The associate plays a vital role in maintaining the efficiency and smooth operation of the medical center by managing both in-person and telephone interactions promptly and effectively. Utilizing the Electronic Health Record (EHR) system, the associate supports patient check-in and check-out processes, insurance verification, scheduling according to established protocols, and document management to ensure all necessary patient information is up to date and readily accessible for clinical staff. This role demands strong organizational skills, the ability to prioritize competing tasks, and a high level of resourcefulness in solving problems as they arise. The Front Desk Associate collaborates closely with clinicians and team members in delivering a seamless patient experience, contributing significantly to the overall patient care process. Job Requirements
- High school diploma or equivalent
- Prior experience in office administration or receptionist roles
- Proficiency in Microsoft Office including Word, Outlook, and Excel
- Strong communication and organizational skills
- Ability to work under pressure in a fast-paced environment
- Experience with electronic health record systems preferred
- Knowledge of medical terminology beneficial
- Ability to handle sensitive patient information confidentially
- Bilingual in Spanish and English preferred
- Strong problem-solving skills
- Ability to manage multiple priorities and tasks effectively

- Knowledge of medical terminology
- Knowledge of ICD-20 and CPT coding
- Bilingual Spanish and English
Job Duties
- Greeting patients and guests
- Conduct check-in process and check-out process via Electronic Health Record
- Aid patients with completion of required paperwork
- Secure patient information and maintain patient confidential health information
- Schedule and triage appointment requests for urgency according to approved protocols consistent within Sage Health's Appointment and Scheduling Guidelines
- Make reminder calls to patients for upcoming appointments
- Collect co-payments, per patient's health plan requirements
- Complete insurance verification prior to patients' appointment
- Answer all phone calls and route to appropriate personnel
- Update electronic health record with current information
- Consult medical assistant or licensed clinician for clinical decision making whenever necessary
- Use applicable functionality in the Electronic Health Record to take messages and communicate with clinicians
- Monitor daily reminder call logs to reschedule appointments as needed
- Scan and index documents into the EHR
- ensure that necessary documents, lab results, etc. are available in advance of patient visits
- Participate in center and market interdisciplinary teams related to patient care plans and outcomes
- Aid coworkers as needed to assure smooth office operation and delivery of excellent service through teamwork
- Address patient problems/concerns as may arise
- Perform other duties as assigned
