The Patient Concierge Manager role at Medpace is critical in leading and developing a new global service offering designed to support patients throughout their clinical trial journey. This service facilitates and coordinates travel logistics and reimburses out-of-pocket expenses for patients traveling from their homes to clinical sites. The primary goal is to enhance the patient experience by reducing the financial burden and simplifying coordination efforts involved in trial participation.
This leadership position entails establishing comprehensive workflows, guiding recruitment and training, overseeing cross-functional coordination, and managing personnel to ensure exceptional patient care. The Patient Concierge Manager will be responsible for aligning project scopes with trial protocols and patient populations, presenting service capabilities to potential clients, streamlining vendor and internal processes, developing financial tracking and reporting tools, and ensuring timely technology upgrades and integrations. The role demands strong project management, team leadership, and communication skills, including the ability to handle occasional evening or weekend duties for patient support emergencies.
Candidates are expected to have a strong background in patient travel and payment services, global travel logistics, and knowledge of how clinical trials impact patients. Experience within clinical research or healthcare environments is essential. While Spanish language skills are a bonus, the role primarily requires enthusiasm, determination, and a genuine commitment to supporting patients throughout the clinical trial process. Job Requirements
- Bachelor's degree
- Minimum 5 years experience in a patient travel and payment service
- Experience managing personnel and/or department
- Knowledge and experience of global travel logistics, infrastructure, and cost drivers
- Knowledge of the pharmaceutical clinical research industry and how participation in clinical trials affects patients
- Prior experience working within a clinical research or healthcare setting
- Effective time management skills
- Ability to manage multiple projects and timelines
- Computer literacy and knowledge of Microsoft Office products

Job Duties
- Generate start-to-finish workflow guidelines and training materials
- Assign staff to projects and manage department personnel
- Review protocol and visit schedule for new project bids
- Ensure scope is aligned with expected need and patient population
- Present service capabilities and defend bids to potential clients
- Coordinate and streamline internal cross-functional procedures as well as with external vendors
- Develop financial tracking and reporting tools
- Ensure all vendor invoices are received monthly and entered into accounting system for payment
- Coordinate with Medpace Travel and Finance regarding spend and payment account funding
- Ensure technology enhancements and integrations are implemented within necessary timelines
- Evaluate department processes for potential process improvement
- Implement appropriate workflow development
- Assess staff capacity in relation to potential award pipeline
- Establish short-term and long-term department staffing plan
- Hire and train new staff
- Maintain effective and efficient communication
- Provide support for patient travel emergencies during some evenings or weekends
- Manage other projects and responsibilities as assigned
