The Patient Concierge Manager position at Medpace plays a critical role in supporting patients who participate in clinical trials by managing travel logistics and reimbursement services. This new global service offering is designed to facilitate a seamless and compassionate experience for patients traveling from their homes to clinic locations for trial participation. By easing financial burdens and reducing logistical complexities, the Patient Concierge Manager helps improve patient engagement and satisfaction, which is vital for successful clinical trial outcomes.

In this leadership role, the Patient Concierge Manager will be responsible for establishing and overseeing the department's workflows and processes from inception to delivery, ensuring a high standard of individualized patient care. They will manage personnel and project assignments, ensuring alignment of service scope with study protocols and patient populations. The role involves presenting service capabilities to prospective clients, coordinating cross-functional teams and external vendors, and developing financial tracking and reporting processes. Additionally, the manager will oversee technology integration and improvements, streamline vendor operations, assess staff capacity relative to workload, and recruit and train new team members.

Candidates will benefit from a targeted salary range between $100,000 and $150,000, commensurate with experience, and the potential for bonus awards. Job Requirements

  • Bachelor's degree
  • minimum 5 years of relevant experience
  • leadership experience managing staff or teams
  • knowledge of international travel logistics and costs
  • familiarity with clinical trial processes
  • ability to manage multiple projects and timelines
  • strong computer skills including Microsoft Office
  • willingness to work some evenings or weekends for emergency patient assistance

Job Qualifications

  • Bachelor's degree
  • minimum 5 years’ experience in patient travel and payment service
  • experience managing personnel or departments
  • knowledge of global travel logistics, infrastructure, and cost drivers
  • understanding of pharmaceutical clinical research industry and patient participation in trials
  • prior experience in clinical research or healthcare setting
  • Spanish speaking is a plus but not essential
  • effective time management skills
  • proficient with Microsoft Office suite
  • enthusiastic about new service opportunities
  • team-player with positive attitude and passion for supporting patients

Job Duties

  • Generate start-to-finish workflow guidelines and training materials
  • assign staff to projects and manage department personnel
  • review protocol and visit schedule for new project bids and ensure scope aligns with expected need and patient population
  • present service capabilities and defend bids to potential clients
  • coordinate and streamline internal cross-functional procedures and vendor interactions
  • develop financial tracking and reporting tools
  • ensure vendor invoices are received monthly and entered into accounting system
  • coordinate with travel and finance departments regarding spend and account funding
  • oversee implementation of technology enhancements and integrations
  • evaluate and implement process improvements
  • assess staff capacity relative to award pipeline and develop staffing plans
  • hire and train new staff
  • maintain effective communication
  • manage patient travel emergency assistance requiring some evening or weekend work
