The Patient Concierge role at NIVA Health is essential in shaping the patient experience from the moment they step into the clinic. The Patient Concierge acts as the 'quarterback' within the office, managing the flow of patients, supporting providers, and handling administrative duties to ensure that each visit is efficient and welcoming. Responsibilities include greeting patients warmly, managing appointment scheduling and confirmations, assisting with intake paperwork, maintaining up-to-date electronic medical records, and ensuring the reception area is clean and organized.

Moreover, this role involves both front-end patient engagement and behind-the-scenes operational support. The ideal candidate will adeptly handle patient inquiries, contribute to workflow planning during morning huddles, and assist with lead management and outbound communications to optimize appointment generation. With the added responsibility of opening and closing tasks, the Patient Concierge ensures that clinics operate smoothly from start to finish each day. Job Qualifications

  • EMR experience a plus)

Job Duties

  • greet every patient warmly and professionally upon arrival
  • offer refreshments and ensure patients feel comfortable and informed
  • answer questions, manage intake paperwork, and update patient records accurately
  • schedule, confirm, and manage appointments
  • handle incoming and outgoing patient calls throughout the day
  • support efficient patient flow and provider schedules
  • maintain and update the EMR system (check-ins, scanning, payments, chart prep)
  • keep the reception area clean, organized, and fully stocked
  • assist with lead management, outbound calls, and appointment generation
  • participate in daily morning huddles and contribute to workflow planning
  • prepare schedules and charts for providers
  • complete daily checklists and ensure all tasks are executed
  • tag leads accurately and prepare for the following day
  • perform end-of-day office walkthroughs to ensure everything is properly shut down
