At Optum, the Patient Care Coordinator plays an essential role in ensuring a smooth and welcoming experience for patients and visitors. This full-time position, based in Greenbrae, California, is pivotal in greeting and registering patients promptly and cordially, managing cash transactions, handling insurance verifications, scheduling appointments, and maintaining accurate medical records. Working onsite during normal business hours from 7:00 am to 6:30 pm PST Monday through Saturday, with occasional overtime as needed, the Patient Care Coordinator serves as the first point of contact for patients and contributes directly to the quality of care provided. This role offers a structured 4-6 week on-the-job training program tailored to each new hire's schedule.

The Patient Care Coordinator is responsible for managing key administrative and financial tasks such as collecting co-payments, issuing receipts, and balancing the cashier box following company policies. In addition, the role includes answering multi-line phone systems, redirecting calls, assisting with patient inquiries, and processing walk-in visitors efficiently. A critical part of the role involves verifying insurance information, completing pre-authorizations or pre-certifications as necessary, and maintaining organized and secure medical records through scanning and filing. The coordinator also ensures all correspondence and patient records are properly logged and managed in compliance with company guidelines.

Job Requirements

  • 1 year of customer service or healthcare related experience
  • 6 months of experience with Microsoft Office applications

  • ability to work during normal business hours of 7:00am to 6:30pm PST Monday to Saturday with occasional overtime
  • must be 18 years of age or older

Job Qualifications

  • High school diploma/GED
  • 1 year of customer service or healthcare related experience
  • 6 months of experience with Microsoft Office applications
  • ability to work onsite at 100A Drakes Landing Road, Greenbrae, CA 94904
  • ability to work during normal business hours of 7:00am to 6:30pm PST Monday to Saturday with occasional overtime
  • must be 18 years of age or older
  • preferred 1 year of experience with electronic health records
  • preferred 1 year of related healthcare experience including scheduling
  • preferred 1 year of experience handling and triaging telephone calls and multi-system phone lines
  • knowledge of medical terminology
  • ability to handle cash and perform mathematical computations at high volumes
  • ability to work independently and as part of a team
  • strong organizational and time management skills
  • excellent verbal and written communication skills

Job Duties

  • Greets patients as they arrive and manages wait time
  • complete check-in and check-out tasks including insurance verification and pre-authorizations
  • collects co-payments, co-insurance, and deductibles and issues receipts
  • manages cashier box and daily deposits according to company policies
  • processes walk-in patients and visitors
  • answers phones and schedules appointments
  • redirects calls, assists callers with questions, and takes messages
  • manages medical records including maintaining, filing/scanning, and preparation for schedules
  • ensures all correspondence is scanned and filed, processes medical records release requests and maintains appropriate logs
  • establishes and maintains effective relationships with patients, employees, and the public
  • performs all other related duties as assigned
