The Patient Care Coordinator position at Optum is a vital front-line role that ensures the smooth functioning of the provider’s practice. Positioned as the initial point of contact, the coordinator manages inquiries from patients and visitors, organizes daily activities, and supports clinical and administrative operations. This role requires someone who exhibits empathy, efficiency, and professionalism while performing tasks such as scheduling appointments, verifying insurance information, documenting patient data in the Electronic Health Record system (EPIC), and adhering to established policies and Lean processes. This full-time position involves a standard 40-hour workweek from Monday to Friday, typically between 8:00 am and 5:00 pm, with flexibility on clinic days to stay later as needed. Job Requirements
- High School Diploma or GED
- 1+ years of computer proficiency including Microsoft Outlook, Excel, and Word
- 1+ years experience in a medical office position performing duties such as scheduling appointments, checking patients in/out, insurance verification, collecting co-pays and balances, and maintaining medical records
- 1+ years working knowledge of Epic EMR software
- ability to work independently with good judgment and accountability
- ability to maintain professionalism under pressure
- excellent verbal and written communication skills
- compliance with HIPAA and OSHA guidelines
- ability to adapt in a fast-paced healthcare environment
Job Qualifications

- 1+ years of experience in a medical office handling scheduling, insurance verification, patient check-in/out, and medical records maintenance
- 1+ years working knowledge of Epic EMR software
- associate's degree or higher preferred
- experience in outpatient surgical practice preferred
- experience handling inbound and outbound calls preferred
- ability to work independently with good judgment and accountability

Job Duties
- Exhibits empathy, courtesy, competence, efficiency, and care
- schedules appointments and procedures following standard guidelines
- uses multiple computer and phone systems to fulfill patient needs over the phone
- verifies patient information while documenting in the Electronic Health Record (EPIC)
- advises patients of their responsibilities regarding insurance and referral information
- greets customers into the practice and provides instructions or directions as necessary over the phone
- schedules and coordinates all patient appointments as directed
- prepares all documentation and records accurately as directed for patient care
- meets or exceeds performance measures set by Practice Management
- follows established policies and procedures
- participates and contributes to a team-based environment
- maintains a team-supportive attendance record
- obtains updated patient information including insurance details
- performs insurance verification on the date of service
- schedules procedures in an organized and efficient manner
- demonstrates knowledge of medical terminology, procedures, and requirements
- obtains authorizations for medical procedures
- assists coworkers as needed to ensure smooth office operations and excellent service
- maintains patient confidentiality and respects patients and staff
- obtains patient signatures for required documents
- files and maintains medical records
- answers incoming and outgoing calls promptly and courteously
- performs referral documentation accurately
- schedules specialist and follow-up appointments promptly
