The role of Part-Time Staffing Coordinator / HR Coordinator & Event Day Attendant is a multifaceted position based at Pechanga Arena San Diego within the Human Resources Department. Reporting directly to the Human Resources Manager, this non-exempt, hourly position plays a crucial role in ensuring the smooth staffing and operational functionality of events held at the arena. Working part-time and on an event-based schedule, the successful candidate will be responsible for coordinating workforce schedules and staffing for key departments including Culinary, Warehouse, and Food & Beverage. They will manage staffing needs for concerts, hockey games, family shows, trade shows, and other arena events, making sure all shifts comply with collective bargaining agreements, labor rules, and company policies.
In addition to scheduling duties, this role provides on-site support during event days. The coordinator will facilitate employee check-in and attendance tracking, direct staff and temporary workers, oversee setup and breakdown of staff areas, and serve as the frontline contact for employee questions or issues throughout events. Maintaining labor law compliance, managing confidential employee records, and assisting with HR administrative tasks such as onboarding, payroll discrepancies, and uniform distribution also form key components of the position. This role demands an individual with exceptional organizational skills, attention to detail, and the ability to multitask in a high-energy, dynamic environment.

Job Requirements
- Must be able to remain on feet (standing/walking) for extended periods
- Must be able to lift, carry, and move items as needed for event setup
- Ability to work flexible and non-traditional hours, including nights, weekends, and holidays
- Must remain calm and effective in high-energy, high-volume event environments
- Strong attention to safety and adherence to venue protocols is required
Job Qualifications
- High school diploma or equivalent required
- Prior experience in workforce scheduling strongly preferred
- Familiarity with event operations, ideally in arenas or similar venues, preferred
- Knowledge of scheduling rules, seniority systems, is a plus
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced, event-driven environment
- Excellent communication and interpersonal skills
- Strong customer service and problem-solving abilities
- Proficiency in Microsoft Office (Excel, Outlook)
- Experience with scheduling systems (ABI, Workday, ADP, etc.) preferred
- Ability to work independently and as part of a team
- Comfort working with confidential information
Job Duties
- Coordinate staffing and scheduling for Culinary, Warehouse and Food & Beverage departments onsite at Pechanga Arena San Diego
- Review event calendars and staffing forecasts for concerts, hockey games, family shows, trade shows, and other arena events
- Partner with department managers to determine staffing levels for each event
- Build, maintain, and publish schedules in alignment with seniority provisions, classifications, and employee availability
- Ensure schedules are posted and distributed according to established timelines
- Maintain accurate seniority lists, availability records, scheduling rosters, and call logs
- Process employee availability forms and time-off requests
- Identify and communicate staffing shortages in advance of events
- Coordinate temporary staffing needs as directed
- Generate staffing and labor reports for management review
- Assist with onboarding and new hire processing, including I-9 verification and paperwork completion
- Maintain employee personnel files and confidential records
- Support HR data entry and administrative tasks
- Assist with payroll and scheduling discrepancy research
- Help with uniform distribution, tracking, and returns
- Support HR audits, reporting, and compliance initiatives
- Maintain confidentiality of all employee data
- Support event operations on game days, concerts, and special events
- Assist with employee check-in and clock-in/clock-out procedures
- Direct staff, temporary workers, and volunteers to assigned locations within the arena
- Set up and break down check-in stations, employee meal areas, and other staff support zones
- Monitor attendance, timekeeping accuracy, and staff readiness throughout the event
- Serve as a first point of contact for employee questions or issues during events
- Ensure all associates follow safety protocols and arena procedures
- Collect, organize, and distribute uniforms as needed
- Maintain compliance with labor laws, and Legends Global policies
- Serve as a resource for scheduling procedures and staffing rules
- Communicate proactively with employees, supervisors, and HR regarding scheduling updates
- Participate in employee engagement and HR support activities as needed
