The part-time Receptionist role at the Licee Francais de San Francisco is a pivotal position responsible for managing the general functions of the school's front desk at the Ashbury Primary Campus during the academic year 2026-2027. The role entails working approximately 26.25 hours per week and requires a candidate who aligns with the school's values and is committed to supporting students, parents, and staff efficiently. This individual serves as the first point of contact for visitors, answering phone inquiries with a pleasant and informed demeanor, managing security protocols, and maintaining a clean and professional reception area. The receptionist also plays a key role in administrative tasks, including handling correspondence, data entry using platforms such as Blackbaud and ActiveNet, and supporting the overall day-to-day operations of the campus.
The position demands strong interpersonal and communication skills, the ability to work both independently and as part of a team, and the agility to manage routine as well as unexpected situations involving student welfare. This includes attending to students who might be sick or injured and administering medications as authorized. The role also requires organizational competence and attention to detail in managing incoming and outgoing mail, filing sensitive information, and maintaining accurate records. Candidates with bilingual abilities in English and French are preferred but not mandatory.

Job Requirements

- 1 to 3 years related experience in the education field

Job Duties
- Answer phone calls in a pleasant, informed manner for the purpose of providing information and creating a good image of the school
- provide and maintain a clean, organized, and uncluttered reception area that reflects a welcoming and professional environment for students, families, staff, and visitors
- manage telephone message system including office hours and other recorded messages
- screen visitors through security cameras, hand visitor badges, and keep visitors' log up to date
- greet all incoming students, families and guests respectfully and professionally
- assist in all aspects of maintaining a professional front office, including fielding and directing incoming phone calls to the appropriate staff member in a timely, professional manner, filing and copying of sensitive information
- develop a positive, welcoming and caring climate in the front office
- provide for students’ personal needs such as attending to those who are sick or hurt, administering medications as prescribed and authorized
- assist students and others with routine problems and refer non-routine items to the supervisor
- work with courtesy, tact, and diplomacy, and cooperatively as part of a team
- type routine correspondence, student tardy notes, memoranda, reports, records, bulletins, orders and other office documents from rough drafts, notes, and oral instructions
- perform data processing in Blackbaud and ActiveNet
- receive, count, open, unpack, date, stamp, record, sort and distribute incoming mail, documents, books, materials and supplies
- sort and stamp outgoing correspondence, address envelopes and packages, prepare printed matter and other materials for mailing
- receive and refer visitors, take telephone calls and messages, and provide routine information upon request
- enter information or data to personal computer or computer terminal following established procedures
- other duties as assigned
