The Next Door Receptionist plays a vital role as the primary point of contact between the organization and its visitors, including children, parents, volunteers, and staff. This role demands a high level of professionalism, courtesy, and organizational skills to ensure smooth facility operations and a secure atmosphere. The Receptionist acts not only as a friendly face welcoming guests but also as a guardian of the center’s security protocols and an efficient administrator of daily clerical duties. Responsibilities span from greeting visitors warmly to maintaining orderly reception areas and overseeing visitor sign-ins according to strict security procedures.
This position is integral to upholding Next Door's commitment to safety and effective communication. Serving as the liaison between the public and the organization's staff, the Receptionist manages a range of administrative tasks including handling incoming calls, distributing mail and applications, and assisting with emergency procedures such as fire drills. The individual in this role must demonstrate an ability to multitask in a fast-paced environment while managing a busy lobby area and facilitating accurate communication both verbally and in writing.
The Receptionist must be highly detail-oriented, dependable, and patient, with strong computer skills including proficiency in Microsoft Office and database management software like Excel. Competency in typing and the ability to coordinate with various agency staff and external vendors is essential. Next Door seeks someone who is not only capable of administrative efficiency but also embodies the spirit of service and has the cultural sensitivity to work effectively with diverse ethnic groups and families from low-income backgrounds.
This role involves occasional physical activities such as moving around the premises, climbing stairs, and maintaining alertness for safety purposes. The environment is primarily an office and reception setting, with some travel to other sites for coverage or meetings when necessary. Job Requirements
- High school diploma or equivalent
- 2-3 years receptionist and/or administrative assistant experience
- Strong organizational, prioritizing, written and oral skills
- Proficiency in Microsoft Office Suite
- Experience with database management software
- Typing speed of 45-55 words per minute
- Ability to multi-task

Job Duties
- Greet children, parents, visitors and staff in a professional and courteous manner
- Maintain and implement centers security procedures
- Ensure that every agency visitor signs in at the front desk
- Answer all incoming and internal calls within three rings
- Distribute agency applications to requestors including employment, volunteer and program enrollment applications
- Take accurate messages and distribute messages to appropriate visitors and staff
- Oversee lobby areas controlling noise and crowd conditions by redirecting children, parents, visitors, and staff to the proper areas
- Maintain a clean and organized reception area including wiping countertops, tables, and cleaning windows
- Alert Security for security related issues
- Alert Facilities for maintenance related issues
- Assist in fire drills with keeping accurate counts of children, visitors and staff
- Separate mail promptly and appropriately and contact staff for pickup
- Accurately complete delivery log for package items from UPS, Fed Ex, etc.
- Perform clerical duties when requested by the Operations Supervisor
- Contact authorities when appropriate
- Report any irregularities promptly to Operations Supervisor
- Perform other duties as assigned
- Facilitate timely and accurate communications as required for employee and outside contacts
