Job Requirements

  • High school diploma or equivalent
  • Proven office reception experience
  • Proficiency with multi-line phone systems
  • Ability to communicate clearly and professionally in various formats
  • Strong organizational skills
  • Ability to maintain confidentiality and discretion
  • Physical ability to handle required lifting and manual tasks
  • Availability to work Monday through Thursday 9:00 AM to 4:00 PM
  • Commitment to punctuality and professionalism

Job Qualifications

  • Proven office reception experience including multi-line phone systems
  • Proficiency in MS Office
  • Strong communication skills in phone, email, and in-person interactions
  • Professional grammar, phone etiquette, and written communication
  • Ability to prioritize and manage multiple projects simultaneously
  • High level of organization, efficiency, and punctuality
  • Ability to maintain confidentiality and use good business judgment
  • Ability to physically move up to 30 pounds regularly and up to 50 pounds on a cart occasionally
  • Ability to complete repetitive folding and sorting tasks by hand

Job Duties

  • Answer and route all incoming front-desk calls and visitors including routine questions and solicitation calls
  • Utilize administrative resources to maintain current systems and coordinate with other departments
  • Process incoming and outgoing mail including shipments and courier services
  • Create UPS labels for internal shipments and remote employees
  • Order, stock, and maintain office, shipping, coffee, and vending supplies
  • Place supply orders for employee needs
  • Prepare onboarding packets and welcome arrangements for new employees
  • Assist with catering, supplies, and needs for meetings and employee events
  • Route building maintenance requests to appropriate parties and contact third-party contractors
  • Maintain reception area and office supply closet
  • Perform general office projects and duties as assigned
