Job Requirements
- High school diploma or G.E.D equivalent
- Experience following specific instructions
- Experience scanning, uploading and copying documents
- Ability to type 40 words per minute
- Intermediate proficiency with Microsoft Office Suite including Outlook, Word and Excel
- Exemplary communication and phone skills
- Excellent customer service skills
- Strong organizational skills
- Ability to work independently and as part of a team
- Ability to maintain high level of confidentiality

Job Duties
- Ensure all applicant's documents are complete, naming the documents accordingly and attaching to the appropriate case
- Assist applicants with completing incomplete documents
- Scan ADA applications, interview guides and other documents into the applicant's case in MTM Access
- Maintain program spreadsheets and reports
- Send required information to partner programs such as paratransit provider, application mailer and photo ID creator
- Assist with conducting follow-up phone calls
- Enter all contact information into appropriate software systems
- Take applicant photos
- Maintain schedule for interviews and functional assessments
- Maintain confidentiality and comply with HIPAA regulations
- Provide comprehensive reception coverage including greeting staff and visitors
- Create mailings for appointment reminders and eligibility expiration notifications
- Create packets, letters and copies as needed
- Enter all mailed information and dates into appropriate software system
- Check fax machine regularly and deliver faxes to the appropriate person or department with special attention to urgent faxes
- Process all outgoing and incoming mail and date stamp if needed
- Anticipate needed supplies and order replacements in a timely manner
- Manage filing system and document scanning system to ensure they are up-to-date electronically
- Review recertification files and other required files
- Conduct marking and tethering duties as needed
- Report complaints or unusual circumstances promptly to management
- Manage all office equipment including printers and photocopiers
- Maintain vendor files, monitor service and recommend alternative suppliers
- Serve as contact for all office machines, building and equipment maintenance and vendor services
- Establish and maintain effective working relationships with employees, supervisors, agencies, participants, external partners and the public
- Communicate professionally with senior leaders internally and externally
- Adhere to all MTM established protocols and policies
