The current opening is for a Part-time Member Services Associate position based in Wilmington, North Carolina. This role is pivotal in maintaining a welcoming and professional atmosphere within the community's clubhouse and amenities. The Member Services Associate will serve as the first point of contact for residents, guests, vendors, and visitors, ensuring they receive exceptional customer service. The position is part-time, covering 18 hours weekly, specifically from 3:00 p.m. to 9:00 p.m. on Tuesdays, Wednesdays, and Thursdays, with occasional opportunities for additional hours. The pay rate for this role is $15.00 per hour.

The responsibilities of the Member Services Associate are divided into facility and administrative duties. Facility responsibilities include receptionist support, opening and closing the clubhouse, following and completing shift duties and checklists, administering membership programs in line with board policies, assisting in room setup and takedown, conducting periodic facility walks to maintain order and cleanliness, enforcing clubhouse rules, managing activity equipment, and completing incident reports. Administrative duties include managing front reception alongside administrative and lifestyle teams, greeting homeowners and visitors, filtering inbound calls, responding to emails, maintaining and monitoring activity schedules, assisting with event management, updating communication channels such as the website and member boards, coordinating maintenance issues, monitoring deliveries, supporting event activities, and performing other related tasks.

Job Requirements

  • Graduation from high school
  • Two years experience in a customer service position
  • Experience working for a community association or recreation center preferred
  • Strong computer skills
  • Ability to maintain CPR/AED certification
  • Ability to repetitively lift and move up to 25 lbs
  • Excellent customer service and communication skills
  • Ability to communicate effectively both orally and in writing

Job Duties

  • Provide direct receptionist support to all on-site property needs by offering the highest quality customer service to inbound callers, visitors and vendors
  • Open or close the Clubhouse as required by shifts
  • Follow daily shift duty documents and complete required checklists
  • Communicate urgent issues to GM, Assistant Community Manager or Lifestyle Director
  • Administer membership programs including guest sign-ins, waivers, age qualifications and owner contact information
  • Assist with room setup and takedown for scheduled uses
  • Periodically walk the Amenity Center and adjacent amenities to identify guests without check-ins, observe room capacities, and assist members and guests
  • Maintain facility cleanliness by straightening, trash pickup, and wiping down equipment
  • Enforce board-approved rules and regulations for Clubhouse and amenities
  • Log in/out and distribute activity equipment ensuring proper return
  • Complete incident reports as needed
  • Partner with Administrative and Lifestyle teams to manage front reception, inbound calls, and administrative projects
  • Greet homeowners and visitors, determine needs
  • Filter inbound calls to appropriate departments
  • Monitor and respond to Front Desk emails
  • Alert team members on issues promptly
  • Maintain up-to-date Lifestyle and Fitness schedules
  • Assist Lifestyle Director with event management and communications
  • Update website calendars and member activity boards
  • Coordinate with Facilities Manager on maintenance requests
  • Monitor pickups and deliveries
  • Assist with library maintenance
  • Support events and activities as requested by GM, ACM and LD
  • Perform other duties as assigned
