Job Description

Forefront Living is seeking part-time Weekend Receptionists to join their team at the Coppell community. This role primarily involves working weekends—Saturday, Sunday, and Monday—from 8 AM to 5 PM, with occasional opportunities to fill in during paid time off periods. The Receptionist plays a crucial role in ensuring that guests and residents experience a warm and welcoming environment from the moment they arrive. This position requires a friendly, professional demeanor and excellent communication skills to effectively manage guest interactions, phone calls, visitor greetings, and a variety of administrative tasks. The Receptionist serves as the frontline representative, answering phone calls promptly within three rings, directing calls and messages as appropriate, and providing assistance to residents with everyday needs such as scheduling appointments, handling mail, and managing small transactions like making change or selling stamps.

In addition to customer service, this role involves essential clerical responsibilities such as scheduling guest cottages, collecting fees, preparing and distributing mail, maintaining office equipment like fax machines and copiers, and reporting unusual situations to the Office Manager or Resident Concierge. The role demands strong organizational abilities, attention to detail, and the capacity to multitask efficiently in a fast-paced environment. Candidates must exhibit a genuine caring attitude toward senior adults and individuals with disabilities, demonstrating patience, compassion, and a commitment to quality service even in stressful situations.

Job Requirements

  • High school diploma or GED
  • minimum two years of experience with PBX or multi-line telephone systems
  • prior front office or customer interaction experience preferred
  • ability to handle multiple communication devices such as phones, fax, and intercom
  • strong communication skills in English, both verbal and written
  • physical ability to sit for extended periods and frequently stand to assist visitors and residents
  • ability to multitask and handle high demands in a fast-paced environment
  • ability to perform essential duties with genuine care and compassion
  • ability to comply with organizational policies including safety and resident rights

Job Qualifications

  • High school graduate or GED
  • two years experience on PBX or multi-line telephone systems
  • prefer front office experience specifically interacting with customers
  • ability to handle heavy phone systems, calculator, intercom, two-way radios, fax machine and copier
  • strong verbal and written communication skills
  • ability to multitask in fast-paced environments

  • ability to maintain pleasant, caring, and compassionate demeanor in stressful situations
  • ability to comply with Resident Bill of Rights and organizational safety policies

Job Duties

  • Model a service attitude towards others
  • take ownership in solving problems and take initiative to make things better
  • be friendly and courteous to residents, patients, and co-workers
  • answer phones within three rings, take messages and/or direct calls to appropriate party
  • greet and direct visitors including family members, vendors, prospective residents, and volunteers
  • assist residents with various needs like making change, selling stamps, mailing, and scheduling appointments
  • collect resident fees and write receipts
  • prepare outgoing mail such as first class, return receipt, and UPS
  • receive and distribute resident and facility mail
  • forward appropriate mail for deceased residents or those who have moved
  • perform routine clerical duties as assigned by the Office Manager/Resident Concierge
  • schedule guest cottages and collect appropriate fees
  • schedule residents appointments according to established drive schedule and routine
  • report unusual situations to Office Manager/Resident Concierge
  • maintain front office fax machine and copier, ensuring supplies are stocked
  • distribute faxes to appropriate persons in a timely manner
  • perform other duties as assigned by Office Manager/Resident Concierge
