The Part-time Front Desk Clerk serves as the frontline administrative assistant, performing a wide range of clerical duties essential to the smooth operation of various town departments. Reporting directly to the Assistant to the Town Manager, this role demands proficiency with modern office technology and software applications, including word processing, fax machines, and general office equipment. The clerk is responsible for organizing files, managing correspondence, and supporting day-to-day administrative tasks such as mail distribution, report preparation, and phone message-taking. Additionally, the clerk assists with setting up meeting rooms, handling conference reservations, and website updates. Beyond these routine responsibilities, the employee will create purchase orders, assist with invoice processing, and even run town-related errands as needed. This diverse workload requires excellent communication skills, both written and verbal, and the ability to engage courteously with the public and colleagues. Flexibility is key, as the position involves working 20 to 25 hours weekly with adaptable scheduling. The role also includes assisting in emergency response according to FEMA and American Red Cross protocols, underscoring the position's importance in municipal readiness and public safety.   • a minimum of one year of work experience in an office setting
  • local government experience preferred

Job Qualifications

  • proficient in Microsoft Word, Excel, PowerPoint, Outlook
  • excellent communication skills, both written and verbal
  • fluent in the English language
  • ability to communicate in Spanish is a plus
  • ability to meet and deal with the public in an effective and courteous manner
  • ability to establish and maintain effective working relationships with coworkers, other Town departments, peers, vendors and the general public
  • ability to work 20-25 hours per week with flexible hours

Job Duties

  • Utilizes a full range of modern secretarial skills to perform clerical duties
  • operation of word processing software, computer, fax machine, and other office equipment
  • creates new files and organizes files according to the department’s procedures
  • retrieves and assembles material from files
  • opens and distributes mail
  • maintains control of correspondence flow through the department and assures that response deadlines are met
  • gathers data and prepares reports
  • answers phone and takes messages for various departments
  • serves as back-up receptionist
  • sets up meeting rooms
  • handles conference and meeting reservations
  • assists with website updates
  • creates purchase orders and assists with ordering office supplies
  • assists with processing invoices for the department
  • may be required to run Town related errands as instructed by supervisor
  • assists with creation of marketing materials
  • assists in emergency response operations as needed, follows all FEMA training and American Red Cross protocol
  • performs any other duties as directed by the supervisor
