The Lifestyle Coordinator (Part-Time) role at FirstService Residential is a dynamic and engaging position designed for individuals passionate about community engagement and event coordination. This role requires the candidate to coordinate volunteer members, vendors, on-site events, and reservations, ensuring seamless execution of community activities. The coordinator is responsible for implementing innovative and creative events that drive membership attendance and foster family-oriented activities within the community. Working 20 hours per week, primarily from Friday to Monday with a varying schedule, the Lifestyle Coordinator will play a crucial part in enhancing the community experience.
The position offers a competitive hourly wage ranging from $20 to $23, commensurate with experience, education, and job responsibilities. Compensation may also be influenced by the directives of client properties where the position is assigned. Responsibilities include maintaining high-level customer service and hospitality internally and externally, partnering with various committees to manage annual homeowner events and budgets, reviewing and processing rental agreements, and ensuring vendor compliance with insurance requirements. The Lifestyle Coordinator manages deposits, forms, fees, and communications related to community room rentals, events, and activities.
Further duties involve monitoring and updating the community event calendar, creating and implementing surveys to gauge resident interest, managing event logistics and staff coordination, maintaining the cleanliness and organization of venues, monitoring expenditures, and preparing financial reports related to events. The Coordinator also handles internal and external complaints, sustains vendor relationships, and promotes events via newsletters, e-Blasts, and clubhouse advertisements. Participation in Board meetings and other responsibilities as assigned are also part of the role.
Successful candidates should possess strong organizational and communication skills, demonstrate attention to detail, and be capable of working efficiently under pressure in a fast-paced environment. Proficiency in English is required, and bilingual abilities are considered a positive asset. Candidates need to have a valid California driver’s license, reliable transportation, and state-mandated vehicle insurance. Experience in recreation or management is preferred, along with a high school diploma; a college degree is an advantage.
The physical demands of the position require the ability to lift up to 30 pounds, move equipment and furniture, communicate effectively both over the phone and in person, and be mobile during events, including walking on uneven surfaces and standing for extended periods. Job Duties
- maintain high-level customer service and hospitality both internally and externally
- partner with facility, fitness, & activities committee to create, manage and adhere to annual and homeowner events and budget, including monthly progress updates
- review and process rental agreements and forms to ensure completion from each member and vendor
- manage the collection of all deposits, forms and fees for community events
- communicate with club members on the policies and guidelines pertaining to community room rentals, space and equipment
- ensure approved vendors are compliant with insurance requirements
- monitor and oversee the master community event and activities calendar as needed and ensure accuracy for posting on the community monitors and website
- create and implement survey tools and processes to identify resident interest for community event activities and recreational programs
- communicate with supervisor and staff on all logistics involved for each event and stating the role each person is responsible for and follow through with meeting needs
- manage the maintenance and cleanliness of rooms, furniture and equipment used for each venue both pre and post events
- monitor monthly expenditures of all community events, activities, recreational programs to ensure management of expenses, accurate coding and compliance to budget limits
- create and update event p&l reports for pre and post events
- handle internal and external complaints
- maintain vendor relations and ensure that service standards are maintained
- promote the communities current and upcoming events via newsletter, e-blast and advertisements within the club house
- attend and participate in board meetings as required
- other duties as assigned
