Job Description

The hiring establishment is a well-established wedding and event venue located in Chesterfield, Virginia. This venue is known for providing exceptional spaces for weddings, receptions, and a wide variety of other events. With an emphasis on quality service, the company caters to a diverse client base, offering customized event solutions that meet individual client needs. The venue prides itself on creating memorable and enjoyable experiences, ensuring every event runs smoothly and meets the expectations of clients and guests. Known for its beautiful and versatile event spaces, the company supports celebration events ranging from intimate gatherings to large-scale weddings. Their team is dedicated to delivering outstanding customer service while maintaining a high standard of professionalism throughout the event planning and execution process.

The role offered is that of an Event Coordinator working on a part-time or per-event basis. This position involves facilitating bookings and providing month-of coordination services for two wedding venues managed by the company. The Event Coordinator will be a vital point of contact for clients, both new and existing, overseeing their event needs from initial consultation through to the day of the event. The job requires in-office work, so candidates must be able to reliably commute or be planning to relocate prior to starting. The ideal candidate will have a minimum of 1 year of event planning experience, demonstrating the ability to handle the complexities that come with managing event logistics and client interactions. Physical demands include the ability to stand for long periods and lift up to 50 pounds. The Coordinator must be fully available to attend client rehearsals, coordination meetings, and present on event days, ensuring seamless operations.

This position demands a strong customer service orientation and the capacity to remain calm under pressure, especially during high stakes event times. Responsibilities include managing the schedule and coordinating multiple tasks simultaneously, with flexibility to work weekends, evenings, and holidays as required by event commitments. Leadership skills are crucial, as the role involves directing teams and delegating tasks appropriately to ensure all aspects of an event are handled efficiently. Excellent organizational and problem-solving abilities are essential to meet the precise needs of diverse clients while maintaining smooth coordination with vendors and staff.

In this role, the Event Coordinator will work closely with clients to determine their needs and goals for their event, acting as the main liaison to vendors to make sure every element is executed flawlessly. Attendance at events to oversee setup, breakdown, and guest activities is a key responsibility, ensuring venues operate at a high standard and guest experiences are prioritized. The Coordinator will also manage private tours and build strong relationships with both clients and local vendors, delivering a high-touch hospitality experience. The role offers an exciting opportunity to be part of a dynamic event planning environment focused primarily on weddings but with exposure to other special events. The company values innovation, teamwork, and client satisfaction, providing a professional yet supportive atmosphere for its employees.
