Job Description

The Event & Alumni Engagement Assistant position is a dynamic part-time role designed for individuals looking to gain practical experience in event planning, alumni relations, and university advancement. This position offers a unique opportunity to directly contribute to the successful execution of alumni events and engagement initiatives that are central to CAFNR's mission to connect with its alumni and supporters. Operating under the guidance of the Coordinator of CAFNR Alumni Engagement, the assistant will support various aspects of event coordination, administrative tasks, and operational duties.

Ideal candidates for this role include early-career professionals, recent graduates, or detail-oriented individuals seeking to build skills in nonprofit development, higher education administration, or event management. The position involves hands-on involvement in organizing signature events such as CAFNR Unlimited, the CAFNR Tiger Classic Golf Tournament, CAFNR Alumni Awards, and participation in community events like the Missouri State Fair and the CAFNR Homecoming Parade Watch Party. Responsibilities include preparing event materials, scheduling venues, managing RSVPs, coordinating vendor communications, maintaining budget and expense tracking, and supporting daily operations to ensure the smooth running of events.

This part-time role entails approximately 20 hours per week with flexible scheduling options between Monday and Friday, including occasional evenings or weekends as required by event demands. The hourly pay range is competitive between $15.00 and $24.00, commensurate with experience and qualifications. While this position does not offer university benefits, employees have access to a Tax Deferred Annuity Plan (403b). The role also offers exposure to fundraising boards, volunteer stewardship, and opportunities for professional development through collaborative work with various campus partners. Job Requirements

  • High school diploma or equivalent
  • some work experience from which comparable knowledge and skills can be acquired
  • ability to assist with event set-up and lift up to 25 lbs
  • flexible availability to work 20 hours per week Monday through Friday with occasional evening or weekend commitments
  • proficiency in Microsoft Office including Excel and Outlook

Job Qualifications

Job Duties

  • Prepare event materials including name tags, guest lists, printed materials, and signage
  • schedule meeting spaces and coordinate venue reservations
  • provide support for alumni board meetings including lunch and room reservations, reminder emails, and sending out zoom meetings
  • maintain detailed budget spreadsheets and assist with expense tracking
  • log receipts, reconcile event expenses, and assist with financial documentation in accordance with University policies
  • maintain organized digital and physical files related to events and alumni engagement
  • monitor the CAFNR Alumni email inbox, answering questions as they arise
  • track RSVPs, update attendance lists, and maintain accurate event records
  • provide general administrative support to ensure smooth daily operations
  • coordinate and execute small events from start to finish
  • provide logistical and administrative support for large-scale signature events such as CAFNR Unlimited, CAFNR Tiger Classic (Golf Tournament), CAFNR Alumni Awards, Missouri State Fair, CAFNR Homecoming Parade Watch Party, and more
  • assist with vendor communication, timelines, supply preparation, and event-day execution
  • support event setup, guest registration, and post-event follow-up
  • work collaboratively with campus partners including CAFNR Advancement, CAFNR Marketing & Communications, and the Mizzou Alumni Association
  • gain exposure to fundraising initiatives and boards
  • support volunteer engagement efforts and stewardship activities
  • participate in planning discussions and contribute ideas to improve processes and event experiences
