Responsibilities extend to the preparation and distribution of reports, handling clerical files, supporting conference sessions with event organization, and serving as a backup to reception duties. Interaction with staff through phone and email is regular, demanding excellent communication skills and customer service orientation. Confidentiality and discretion are paramount, given the sensitive nature of some information handled.
In addition, the Administrative Services Assistant is tasked with maintaining physical and electronic documents meticulously, managing mailings, coordinating file systems, and assisting with benefits and HR inquiries. Job Requirements
- Two years experience in reception and/or administrative support functions
- high school diploma or equivalent required
- vocational training preferred
- proficiency with Microsoft applications
- ability or experience with office duplicating, facsimile machines, and multi-line telephones
- excellent organizational, communication, and customer service skills
- ability to maintain confidentiality
- excellent attendance and punctuality

Job Duties
- Enter and maintain information in various databases including contact information and address changes
- organize and follow-up on clergy compensation forms
- create and run ad hoc reports
- calculate and maintain clergy full-time equivalent years of service report
- update Annual Conference Journal for Honor Roll
- support Annual Conference Session for special meal events
- review monthly benefit invoices
- respond to inquiries regarding disability claim forms
- assist with new hire paperwork for seasonal staff
- send timesheet reminder emails biweekly
- provide back-up support to front-desk receptionist
- host events and meetings as needed
- maintain clergy files hard copy and electronic
- organize, prepare, and send mailings
- answer general benefit and HR questions via phone and email
- perform general filing
- perform other duties as assigned
