Job Description

This role is based in the Arlington, VA office, with a schedule from Monday through Friday, working five to six hours a day. The position available is Administrative Assistant II, a vital support role within the Diocese's structure. Reporting directly to the Chancellor, this role significantly contributes to the smooth operation of the Chancellor's office by managing a variety of complex and confidential administrative tasks. The Administrative Assistant II works independently with general supervision but also collaborates with teams on special or ongoing projects, demonstrating flexibility and initiative.
The primary responsibility of this position is to provide comprehensive administrative assistance related to marriage files. This includes preparing files for transmission to other dioceses domestically and internationally for permissions and dispensations associated with marriage within the Church's canon law framework. The assistant maintains meticulous records both digitally and in physical formats, ensuring confidentiality and compliance with ecclesiastical requirements. Key duties also involve verifying the validity of marriages through detailed research and communication with parish and diocesan personnel. Handling routine inquiries, directing calls, managing correspondence, and maintaining office supplies are additional tasks crucial to the efficient functioning of the Chancellor's office.
The position requires proficiency in Microsoft Office and other basic computer programs, strong organizational skills, and the ability to handle sensitive matters with discretion and confidentiality. The ideal candidate will be a practicing Catholic familiar with Church teachings on marriage, divorce, and annulments, and comfortable working in a team-oriented environment with a cooperative spirit. Linguistic abilities in Spanish and knowledge of specific Church directories are considered a plus. Job Requirements
- High school graduate or equivalent
- 2 to 4 years administrative office experience
- Prior experience in legal or canonical affairs beneficial
- Practicing Catholic with knowledge of Church teachings
- Proficient in Microsoft Office
- Strong communication and organizational skills
- Ability to handle confidential matters with discretion
- Ability to work independently and in a team
- Willingness to work occasional evenings or weekends
- Ability to perform physical tasks such as lifting 10 to 50 pounds
- Familiarity with Church directories and Spanish language considered a plus
