Currently, TK Elevator is seeking an experienced Operations Coordinator - Service/Repair in Savannah, GA. This full-time role is pivotal within the service operations department, focusing on performing all administrative duties that enable the department to function efficiently and cost-effectively. The Operations Coordinator plays a key role in supporting technicians and service teams by managing installation base maintenance, coordinating service schedules, and serving as the communication bridge between branch operations and regional dispatch. Responsibilities also include handling safety inspection tickets, overseeing parts requisitions, assisting with payroll processing, and managing vehicle-related documentation.
The ideal candidate will be detail-oriented, highly organized, and capable of managing multiple tasks simultaneously. Familiarity with Oracle database systems and elevator repair administrative work is preferred. Job Requirements
- High school diploma or GED
- One-year certificate from college or technical school
- Three to six months related experience and/or training in basic business administration
- Some elevator repair administrative work preferred
- Knowledge of Oracle database
- Effective communication skills
- Strong organizational abilities
- Ability to multitask and manage time effectively
- Proficiency in office software
- Willingness to assist with various administrative tasks
- Ability to maintain confidentiality.

Job Duties
- Performs install base maintenance as needed
- Creates safety inspection tickets
- Updates on-call lists and sends detailed notifications to Dispatch daily
- Checks technicians in/out and communicates information to Dispatch and supervisors
- Provides status updates to National Accounts and customers on open work orders and completed callbacks
- Acts as liaison between branch operations and regional dispatch
- Maintains shared calendars for dispatch with field attendance and work scheduling
- Reviews open ticket reports and submits to dispatch
- Tracks operations systems and tool audits
- Assists mechanics with IT downloads and ordering brochures and tools
- Orders new phones and replacements for the service department
- Assists managers with safety meetings and maintains documentation
- Completes manual payroll entry forms including daily DVR processing and cost corrections
- Creates parts requisitions and receives parts
- Reviews weekly report of un-received invoices
- Performs research and review for Service Manager including running various reports
- Sends copy of down payment checks to regional Accounts Receivable
- Submits checks sent to branch for service to lockbox
- Monitors pre-invoicing report to ensure safety inspections are not processed as manual tickets
- Assigns tickets to mechanics as needed
- Compiles data for legal for incident reports and lawsuits
- Prepares badging applications and tracking
- Orders uniforms for service
- Prepares special reports for high profile customers
- Reviews work in progress report and submits to regional billers
- Reviews invoice on-hold reports and works with Regional Procurement Department
- Opens and distributes mail and faxes
- Codes local Accounts Payable invoices and forwards to Oracle Invoice email
- Manages vehicles and submits change forms to LeasePlan.
