The role of Operations Coordinator is a vital position within the Kirkland & Ellis Miami office. This role offers an excellent opportunity for individuals who thrive in dynamic, fast-paced professional environments to contribute directly to the smooth functioning of the office. As an Operations Coordinator, you will collaborate closely with the Senior Operations Manager and various internal teams, including Facilities Services, Digital & Delivery Services, Food Services, Safety & Security, and Space Planning. Your responsibilities will encompass coordinating operations initiatives, supporting project and event planning, overseeing digital document processing and mailroom services, liaising with property management, assisting safety programs, and delivering exceptional customer service. This multifaceted role requires strong organizational, communication, and problem-solving skills. It offers broad exposure to law firm operations and the chance to influence the workplace experience positively. Job Requirements

  • Bachelor's degree preferred or equivalent experience
  • 5+ years of relevant operations or facilities management experience
  • Proficiency in Microsoft Office Suite and related technology
  • Experience in mailroom and print/digital production operations
  • Strong communication and organizational skills
  • Ability to multitask and handle fast-paced environment demands
  • Professional discretion and ability to work independently and in teams

Job Qualifications

  • Bachelor's degree preferred or equivalent hands-on experience in operations or facilities management
  • 5+ years of experience in operations, facilities, or workplace services preferably in a professional services environment
  • Strong working knowledge of Microsoft Office Suite including PowerPoint, Excel, Word, OneNote, and SharePoint
  • Proficiency in Microsoft Windows and web-based applications
  • Experience with mailroom, print/digital production, and general office services
  • Excellent written and verbal communication skills
  • Ability to collaborate effectively across teams and levels
  • Proven ability to manage multiple priorities and meet tight deadlines
  • Strong service mindset with commitment to quality support
  • Proactive and self-starting approach with sound judgment

Job Duties

  • Support cross-functional operations initiatives and track projects
  • Drive process improvements through collaboration and best practices
  • Coordinate planning meetings and assist in operational projects and events
  • Serve as a subject matter expert in digital document processing and mailroom operations
  • Partner with internal teams and property management to manage building-related requests
  • Assist with coordination of campus safety initiatives and training
  • Provide high-touch customer service support to employees, clients, and visitors
  • Arrange catering services and external vendor support
  • Deliver operational reports and stay current on industry trends
