The role of Operations Coordinator at CWS Corporate Housing is a key position within the organization, essential for ensuring smooth administrative support throughout the area market. This role is primarily responsible for coordinating lease processes from start to finish, guaranteeing accuracy in paperwork, and facilitating effective communication between different departments. The objective is to uphold the highest standards of guest satisfaction by ensuring all leasing details are handled meticulously and efficiently.

The Operations Coordinator reports directly to the Area Manager and is stationed at the Boca Raton, Florida location. This is a full-time, hourly, non-exempt position with working hours from Monday through Friday, 8:30 am to 5:30 pm. Although this position does not supervise any personnel, it plays a pivotal role in supporting the broader team and enhancing operational workflows.

Responsibilities for this position include managing lease agreements accurately and promptly, verifying paperwork completion, updating operational databases with current client and apartment information, and coordinating with other team members such as the Quality Control Representative and Guest Services Coordinator. Additionally, the Operations Coordinator is tasked with reviewing daily operational schedules, assisting in process improvement initiatives, generating reports according to deadlines, and managing client requests effectively. These duties contribute significantly towards the efficient functioning of leasing operations and client satisfaction.

Job Requirements

  • Ability to pass background, drug and driving record check annually, as per company policy and guidelines
  • Must maintain a valid and unexpired driver’s license that meets company driving standards and maintain current automobile insurance and registration

Job Qualifications

  • High school diploma or GED or equivalent
  • Background in customer service, accounting/billing, or in property management is a plus
  • Computer proficient, particularly in Microsoft Outlook and Word, Smart phone technology

Job Duties

  • Coordinate new lease accurately and timely from start to finish
  • Double-check to ensure that the Guest Services Coordinator has completed all leasing paperwork accurately
  • Communicate accurate information to the Quality Control Representative to process all necessary work orders
  • Maintain accurate and current information in the company’s operational database for clients and apartment communities
  • Maintain accurate and organization of the filing system
  • Ensure that the Guest Services Coordinator processes clients’ lease extension and notice to vacates accurately and in a timely manner
  • Update request systems with any add on requests for client’s needs
