The Operations Assistant (OA) position at Breakthrough T1D is a critical role that supports the organization's fundraising, community engagement, and operational functions within the Mid-America territory, which encompasses Nebraska, Iowa, Kansas, and Missouri. This hybrid full-time role involves working onsite two days a week and remotely or in the field three days a week, primarily supporting the Nebraska and Iowa Chapters. The OA plays an essential part in the day-to-day execution of various development activities that enhance donor and volunteer relationships, fostering stronger connections that drive revenue, expand organizational reach, and increase community engagement. Responsibilities include managing office operations, supporting fundraising events, assisting with marketing efforts, and coordinating volunteer activities. This role requires a detail-oriented, collaborative team player with exceptional organizational skills who can juggle multiple priorities effectively. The Operations Assistant serves as a vital support to chapter staff and leadership, contributing to the success of over 10 main fundraising events annually that collectively generate more than $5 million in net revenue. Ultimately, the OA's efforts directly advance Breakthrough T1D’s mission by maximizing territory growth and engagement while upholding the organization's values and priorities in all activities.

Job Requirements
- Two years of administrative, operations or business/volunteer experience preferred
- fundraising and event experience preferred
- experience partnering with strong and active volunteers preferred
- demonstrate a high degree of energy, integrity, courage, empathy, and creativity
- a team player who can achieve individual objectives and support the entire chapter team
- proven ability to successfully manage various event details, timelines, and skilled in efficient time management
- able to meet deadlines under pressure
- detail-oriented and strong organizational skills
- ability to be an enthusiastic spokesperson/representative of Breakthrough T1D’s mission
- clear communicator
- proficient with MS Office and constituent management databases
- knowledge of administrative procedures such as coordination of people and resources, planning, and resource allocation

- college degree or equivalent combination of education and experience
- ability to travel within the Territory footprint
- occasional evening and weekend work as needed

Job Duties
- Serve as primary territory and chapter office support including all chapter operational needs
- stay current with departmental and organization-wide policies and procedures ensuring compliance with audit requirements
- develop expertise in platforms used for fundraising management, event management, constituent management and financial management with emphasis on providing CRM and Greater Giving data entry support
- serve as the lead financial operations staff member ensuring proper handling of invoices and territory expenses, partner with Donor Services and Donations Processing for coding gifts, follow up with donors on outstanding payments, provide financial reporting as needed
- manage territory office systems including voicemail, calendar, inbox, and maintain supply inventory for office and territory events
- provide administrative support to Territory Executive and chapter staff as needed
- assist Chapter leadership in preparation of board meetings and board correspondence
- provide administrative support for fundraising activities including updating CRM records, executing mail/email solicitations, and preparing information for meetings
- manage ordering of event collateral, signage, and other materials to support participant experience and brand compliance
- proactively manage shopping, packing lists, and storage inventories for smooth event execution
- manage event day volunteer recruitment and communication, serve as point-person and coordinator of day of event volunteer training and assignments
- manage administrative/project-based volunteer recruitment and communication, serve as point-person and coordinator of administrative volunteers
- support identification, cultivation, and development of key volunteers, elevate prospects to specialized event teams as appropriate
- ensure meaningful engagement of volunteers at all levels and maintain strong relationships with key volunteer partners
- support process for all SFMC communications on behalf of the territory, liaise with Marcom partners for communications preparation and sending
- support creation and execution of hard-copy mailings
- secure and manage earned media placements for Breakthrough T1D and local events
- update chapter and event websites timely and relevantly
- maintain chapter social media accounts focusing on increasing impressions and leveraging national resources
- support and maintain the vision, mission, priorities, and guiding principles of the organization
- understand and support the Territory's fundraising strategies and business needs
