Job Description

This position, Operations Assistant, plays a crucial support role in ensuring smooth daily operations within the IRC’s office environment. The incumbent is responsible for managing receptionist duties and other operational tasks that contribute to creating a well-functioning, compliant, and professional environment for staff, clients, and partners alike. The role requires excellent organizational skills, effective communication, and flexibility to meet the demands of a dynamic workplace. The Operations Assistant is the first point of contact for visitors and callers, managing the reception area with a professional demeanor while also supporting various internal functions such as facility and supply management, IT coordination, and safety compliance.

The Operations Assistant’s responsibilities include answering and directing phone calls promptly and courteously, welcoming visitors, providing information, and maintaining a tidy reception and lobby area. The individual also handles the distribution of mail and faxes and supports facility maintenance by working with the Operations Manager to resolve issues efficiently. A vital part of the role involves coordinating IT repair and upgrades of office equipment, ensuring operational continuity and assisting with hardware and software needs. Additionally, the assistant manages supply orders, processes vendor invoices in collaboration with the Finance team, and supports safety and security matters on a day-to-day basis.

Job Requirements

  • High school diploma required
  • Associates degree preferred
  • Minimum of 2 years previous reception and/or clerical experience
  • Fluency in English
  • Bilingual abilities preferred
  • Excellent computer skills preferred in MS Word, Excel, and Outlook
  • Data entry skills
  • Highly organized and flexible
  • Effective communication and time management skills required
  • Excellent administrative and organizational skills with ability to work independently and as part of a team in a multi-cultural environment

Job Duties

  • Answer all incoming phone calls and direct them to appropriate team members in a timely and courteous manner
  • Manage front desk area, greeting and directing clients and visitors in a professional manner
  • Provide information and answer questions for all visitors
  • Maintain reception area and lobby in a neat and professional manner
  • Receive and distribute incoming mail and faxes
  • Support the Operations Manager with resolving facility maintenance issues
  • Coordinate repairs and improvements of copiers and other equipment with staff, property manager, and vendors
  • Support office-level IT and communications infrastructure, hardware, and software needs
  • Order office and program supplies as needed
  • Process vendor invoices in coordination with Finance team
  • Provide support for day-to-day safety and security matters
  • Support special projects and perform other tasks and duties as assigned
