Job Description

The John Bunker Sands Wetland Center is a renowned nature center located in Combine, Texas, just outside of Dallas. Dedicated to the conservation and education of vital natural resources, this establishment plays a crucial role in fostering public understanding of water, wetlands, and wildlife preservation. The Center leverages the East Fork Water Reuse Project, a sprawling 2,000-acre wetland, as its centerpiece attraction and educational platform. This wetland is not only a habitat for a wide variety of wildlife but also a vital source of drinking water for local communities, making the center's mission profoundly impactful. Through its diverse environmental education programs, the Center engages a broad audience that includes K-12 students, families, scouts, and nature enthusiasts. Offering classes, nature seminars, bird walks, boardwalk tours, and special events, the Center promotes an immersive experience in a biologically rich environment home to more than 300 bird species, including iconic bald eagles, alongside various native mammals, insects, amphibians, and reptiles.

The Wetland Center seeks a full-time Operations and Events Coordinator to ensure the seamless day-to-day functions of the organization. Working Tuesday through Friday from 8:00 am to 4:00 pm and Saturday from 7:00 am to 4:00 pm, with occasional evening hours, this role is critical to maintaining the facility's operational readiness and excellent visitor experience. The coordinator will manage administrative systems, oversee facilities and event logistics, and coordinate volunteers, serving as the operational backbone of the Center. In close partnership with the Executive Director and program staff, the coordinator ensures smooth operations spanning from visitor reception to backend financial and administrative support. The role requires a detail-oriented, organized individual adept at multitasking in a dynamic onsite setting. The position is perfect for someone passionate about environmental education and conservation, ready to support the mission through operational excellence and community engagement. This coordinator will be instrumental in managing vendor relationships for facility maintenance, overseeing front desk and membership systems, organizing event logistics, and supporting financial administrative tasks. Job Requirements

  • College coursework or degree in business administration, nonprofit management, communications, or a related field
  • 3-5 years of experience in operations, office administration, event coordination, or nonprofit administration
  • Experience working in a nonprofit, museum, nature center, or public-facing educational organization preferred
  • Strong organizational and systems-management skills
  • Experience coordinating logistics for events and public-facing operations
  • Working knowledge of administrative and operational processes including basic financial tasks
  • Proficiency with Microsoft Office Suite, Google Workspace, POS systems including Square, and database platforms
  • Strong verbal and written communication skills
  • Valid driver’s license and reliable transportation
  • Ability to work in a dynamic onsite environment with shifting daily needs

Job Duties

  • Ensure the center is open, operational, and visitor-ready during scheduled hours
  • Coordinate facility readiness, maintenance, and vendor services in collaboration with the North Texas Municipal Water District
  • Maintain relationships with contractors for cleaning, waste removal, HVAC, plumbing, septic, phone systems, fire alarms, and security systems
  • Maintain up-to-date emergency procedures, contacts, and documentation
  • support quarterly staff refreshers
  • Assess, purchase, and track operational supplies and equipment in alignment with approved budgets
  • Maintain protocols for center technology, equipment use, and shared systems
  • Oversee front desk operations and visitor flow, including greeting guests and providing wetland center orientation
  • Maintain wetland center nature store operations including inventory tracking, pricing and sales reporting
  • Manage membership systems and records, ensuring accurate data collection and quarterly acknowledgements
  • Maintain accurate master lists of contacts (visitor, members, donors, teachers) in coordination with the executive director
  • Maintain secure documentation of system access and passwords in accordance with organizational protocols
  • Coordinate logistics for all wetland center events, including public programs, rentals and fundraising events
  • Develop and maintain event timelines, checklists, run-of-show documents, and supply needs
  • Coordinate vendors, rentals, permits, and onsite setup/breakdown
  • Support onsite event execution, including occasional evenings
  • Assist the executive director with event logistics related to the annual fundraiser and other donor events
  • Process invoices, expense reports, deposits and reconciliations
  • Maintain accurate financial records and receipts in accordance with accounting protocols
  • Prepare monthly credit card and expense reports
  • Support tracking of restricted funds and documentation for transfers
