This part-time position based in Carlsbad, CA, offers a competitive hourly wage ranging from $18.00 to $22.00 depending on education and experience. The role will appeal to motivated individuals who enjoy working in a fast-paced environment with diverse responsibilities, including administrative support and porter duties. As a valued member of the RealManage family, the employee will assist owners with policies, procedures, and HOA-related issues while acting as a liaison between owners, guests, and vendors. Additionally, the role involves maintaining records, managing communication, supporting community events, maintaining cleanliness and organization of storage areas, and addressing resident complaints promptly and courteously.
The successful candidate will use various tools such as Google Drive, Microsoft Word, Excel, and Outlook on a daily basis. Collaboration with Community Association Managers (CAMs) and Boards of Directors is essential to ensure smooth operations and project completion. The role requires excellent communication, organizational, and time management skills, and the ability to work independently while maintaining a positive attitude and high customer service standards. Job Requirements
- High school diploma or GED required
- Associate degree preferred
- Must have a valid driver’s license
- Excellent verbal and written communication skills
- Excellent computer proficiency with MS Office
- Ability to work under pressure and meet deadlines
- Positive attitude and exemplary customer service skills
- Ability to work independently and complete assignments within given instructions

- Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
Job Duties
- Handling day-to-day tasks and communication in a fast-paced environment
- Assisting owners with questions regarding policies and procedures
- Assisting owners with HOA related issues and communicate to CAM when appropriate
- Opening all mail and packages and distribute appropriately
- Keeping all contact lists up to date
- Keeping all homeowner packets up to date
- Using Google Drive, Microsoft Word, Excel, Outlook
- Keeping all owner files up to date
- Acting as an owner liaison between owners/guests and vendors as needed
- Keeping file and record retention system up to date
- Assisting in preparing, proofing and sending communications out to owners and others
- Preparing and managing ordering for annual vehicle passes and annual meeting materials
- Assisting CAM with projects and meetings as requested
- Attending miscellaneous meetings when requested by CAM or Board of Directors
- Check supply levels in storage closets and requisition additional supplies
- Maintain cleanliness and organization of storage areas, carts, and caddies
- Clean assigned areas using designated checklists
- Complete work orders for maintenance repairs and submit to the Community Association Manager
- Monitor and handle residents’ complaints by following instant pacification procedures
- Respond to all radio/cell calls promptly
- Document pertinent information in the department logbook
- Complete all paperwork and closing duties before leaving and check with manager
