The role of Offsite Events Manager at Encore is an integral position responsible for managing events held outside locations where Encore is the official onsite Event Technology provider. This position focuses on overseeing event planning and execution to ensure each event is profitable and meets Encore’s high standards for technical and production quality. The Offsite Events Manager works closely with sales and operations teams to coordinate event execution plans, communicate crucial information to vendors, crew leads, and clients, and lead teams on-site when necessary. This position reports directly to the Director of Offsite Events and carries considerable responsibility for mentoring team members, managing logistics, and maintaining strong client relationships.

Key responsibilities include preparing production and labor schedules, managing sub-rental requirements, maintaining organized show files, and ensuring events adhere to client needs. The manager plays a leadership role in onsite event execution, including coordination of talent-to-task assignments, ensuring timely and proper equipment delivery, and maintaining a focus on profitability. Additionally, the manager supports administrative tasks like processing invoices, timesheets, and post-show reporting while also identifying opportunities for workforce training and development.

A significant aspect of this role involves people management, including hiring, training, and developing a professional team, assigning work priorities, and creating an environment focused on service excellence, customer satisfaction, and efficiency. The Offsite Events Manager must establish strong working relationships across departments and cultivate a team culture that emphasizes accountability, collaboration, and operational success.

Given the varied environments where Encore operates, working conditions include indoor office settings, warehouse spaces, and hotel or convention center environments, each with distinct exposure to variables like noise, outdoor elements, or technical equipment. Irregular hours, including evenings, weekends, holidays, and on-call shifts, are part of the role to ensure comprehensive support for events anytime they occur. The position offers a salary range of $64,506.00 to $83,858.00, with compensation tailored based on location, experience, skills, and additional incentives. Job Requirements

  • High school diploma required
  • Minimum 5 years experience in event technology or broadcast industry
  • At least 2 years administrative and customer service experience preferred
  • Strong communication skills
  • Technical proficiency

Job Qualifications

Job Duties

  • Prepare and communicate production and labor schedules, sub-rental requirements, project scope, execution plan and individual responsibilities to lead crewmembers, vendors and venue
  • Maintain focus on client needs by attending client meetings, creating and maintaining organized show files, and responding to client concerns, questions, and problems
  • Review sales documents to confirm that the equipment and technical positions meet client needs
  • Communicate event execution plan and on-site changes including billing, production schedules and client requests
  • Coordinate onsite event execution team to ensure appropriate talent-to-task assignments are maintained
  • Lead onsite execution where applicable and review necessary information with crew leads to ensure a successful and profitable event
  • Ensure that all equipment and services are delivered on time, in good working condition and as specified by clients
  • Mentor Encore team members on event execution and best practices
  • Assist Director, Offsite Events with completion and analysis of Production EPT for events as necessary
  • Complete Encore post-event process including review and approval of timesheets, processing of invoices and post-show reporting
  • Work with Director, Offsite Events to identify training opportunities for market-and-regional workforce
  • Maintain and update detailed files on venues with dock requirements, elevator sizes, power limits, contact information, load-in rules, onsite AV team, etc.
  • Provide event planning and execution support at in-market venues where applicable during slower OSE periods
  • Provide planning, logistical and event execution support to In-Market PMO / Production where requested
  • Hire, train and develop a team of professionals supporting various divisions across the company
  • Prioritize, lead and assign work based on team member strengths and roles
  • Responsible for all aspects of team member training, career development and performance management
  • Implement and cultivate a team environment focused on service levels, customer satisfaction, revenue generation and productivity
  • Ensure team members are equipped with required tools, processes and procedures to create an effective and efficient organization
  • Establish strong working relationships with team members within the support center and other departments to support team goals
