The Offsite Events Manager at Encore plays a critical role in ensuring the successful planning and execution of events that take place at venues where Encore is not the contracted onsite Event Technology provider. Reporting directly to the Director of Offsite Events, the manager oversees all aspects of event execution from initial client engagement to onsite delivery.
In this role, the Offsite Events Manager is responsible for preparing production and labor schedules, coordinating sub-rentals, managing project scopes, and clearly assigning responsibilities to lead crew members, vendors, and venues. They act as a key liaison between clients and the internal teams, maintaining organized show files, handling client inquiries, and ensuring client satisfaction throughout the event lifecycle. The manager also reviews sales documentation to verify equipment and technical position accuracy in meeting client requirements.
When it comes to event execution, the Offsite Events Manager communicates the event execution plan and any onsite changes, coordinating the event team to maintain optimal talent-to-task alignment. They provide leadership on the ground, ensuring that equipment and services are delivered punctually, in perfect condition, and according to client specifications. Mentorship of Encore team members is also a priority, fostering skill development and enhancing local market expertise.

Job Duties
- Prepare and communicate production and labor schedules, sub-rental requirements, project scope, execution plan and individual responsibilities to lead crewmembers, vendors and venue
- Maintain focus on client needs by attending client meetings, creating and maintaining organized show files, and responding to client concerns, questions, and problems
- Review sales documents to confirm that the equipment and technical positions meet client’s needs
- Communicate event execution plan and on-site changes including billing, production schedules and client requests
- Coordinate onsite event execution team to ensure appropriate talent-to-task assignments are maintained
- Lead onsite execution where applicable
- review necessary information with crew leads to ensure a successful and profitable event
- Ensure all equipment and services are delivered on time, in good working condition and as specified by clients
- Mentor Encore team members on event execution and best practices to help improve the local knowledge base and experience in the market
- Assist director, offsite events with completion and analysis of production EPT for events as necessary
- Complete Encore post-event process, including review and approval of timesheets, timely processing of invoices and post-show reporting
- Work with director, offsite events to identify training opportunities for market- and regional workforce
- Maintain and routinely update detailed files on venues with dock requirements, elevator sizes, power limits, contacts, load-in rules, onsite AV team
- Provide event planning and execution support at in-market venues where applicable during slower offsite events periods
- Provide planning, logistical and event execution support to in-market PMO/production where requested
- Hire, train, and develop a team of professionals supporting various divisions across the company
- prioritize, lead, and assign work based on team member strengths and roles
- Manage all aspects of team member training, career development, and performance management
- Implement and cultivate a team environment that focuses on service levels, customer satisfaction, revenue generation, and productivity
