The role of the Offsite Events Manager is designed to oversee all aspects of offsite event coordination and execution, working closely with sales, operations teams, and venue partners to deliver seamless event experiences. This position is responsible for preparing and communicating detailed production and labor schedules, managing technical equipment needs, and ensuring that all event logistics align with client expectations and Encore’s technical standards. The Offsite Events Manager also leads onsite execution, coordinating with event teams to ensure appropriate task assignments and operational efficiency. Reporting to the Director of Offsite Events, this role demands strong leadership and project management capabilities.
In addition to event planning and execution, the Offsite Events Manager is responsible for administrative duties such as reviewing and approving timesheets, processing invoices, and participating in post-event evaluations. This position plays an integral part in training and developing Encore team members, fostering a knowledgeable workforce equipped to handle diverse event requirements. The role requires maintaining comprehensive venue files that include vital details such as dock access, power limits, and contact information, which streamline event planning and reduce operational risks.

Job Duties
- Prepare and communicate production and labor schedules, sub-rental requirements, project scope, execution plan and individual responsibilities
- Maintain focus on client needs by attending client meetings, creating and maintaining organized show files, and responding to client concerns
- Review sales documents to confirm equipment and technical positions meet client needs
- Communicate event execution plan and onsite changes including billing and production schedules
- Coordinate onsite event execution team to ensure appropriate talent-to-task assignments
- Lead onsite execution where applicable and review necessary information with crew leads
- Ensure all equipment and services are delivered on time and as specified
- Mentor Encore team members on event execution and best practices
- Assist Director with completion and analysis of production EPT for events
- Complete post-event processes including timesheet review, invoice processing and reporting
- Identify training opportunities for workforce development
- Maintain and update detailed venue files
- Provide event planning and execution support at in-market venues during slower offsite event periods
- Hire, train and develop team members
- Implement and cultivate a customer-focused team environment
- Ensure team members have required tools and processes
- Establish strong internal working relationships
